I'm not sure of the price range of the Ricoh, so it's hard to tell what's a
comparable solution. We have a Xerox Document Centre that delivers scans to
the server using FTP. Then the workstations pick up the scans from the FTP
server using a little image retriever program that monitors folders for new
files. This works great, and Xerox has other options for distributing the
scans as well.

Some of the newer devices use smtp to deliver the scans to the different
users. I don't like this idea because we scan a couple thousand documents
per month, and I don't need them in the Exchange database. We run the
Windows FTP server service on a win2k server that houses our accounting
program and a couple of other applications - it's just moving some files
around, and seems to use almost nothing in the way of server resources.

Dave,

I think you're the one that previously told me about Xerox's DocuShare
software. If so, I was trying to determine if Docushare would interface with
other multi-function copiers (other than Xerox), especially for incoming fax
distribution.

Hi Kevin - there are several ways to get files into DocuShare. While
viewing a collection in IE, there's an Add menu, so you can just click Add
Document and browse to the file. There's a Windows client that presents DS
as a top-level folder in Windows Explorer or a desktop link, so you can just
drill down to a collection and drag-and-drop files into it. There's an
Outlook client where DocuShare folders show up in the folder tree with the
mailbox and public folders. And, there's a link for Scansoft PaperPort
software that allows dragging and dropping from the PaperPort desktop.

We had some minor performance complaints about the Windows and Outlook
clients. We upgraded to the current version on a pretty fast server, and
this is mostly resolved. Also, the client software caches information so if
it is slow, it'll only be on the first access to a collection. We have
about 41,000 documents in 1900 collections (10-11gb). This is considered a
relatively small installation - I believe it's been tested with up to a
million documents. In fact, our database runs on MSDE, but DocuShare can
run with SQL or Oracle databases.

We never ran DS on the SBS. Our original SBS hardware was way underpowered
to do both, particularly in that I think it had 4g drive capacity. Since we
needed a new box anyway, we decided to leave the SBS as it was and buy new
hardware for DS.

Until a month ago, it was running on an 866mhz PIII with 1.75 gb RAM and 5
18g drives in a hardware raid 5 (a Dell PE2400). When we started running
the newest version, there were some minor performance issues (and DS now
requires a 1g processor minimum) so we decided to upgrade the hardware.

Now it runs on a Dell PE2600 with a 3.2g Xeon and 2gb RAM, with 5 15,000 rpm
hard drives and Windows server 2003. The new DS 3.x runs on MSDE and seems
to need a lot more processor than the 2.x versions did. The faster
processor has made a very noticeable difference in how fast pages come up,
searches complete, etc. The 15,000 rpm drives make large files open
noticeably faster. I didn't expect the new hardware to make that much
difference, but it really did. By the way, 2g RAM seems to be just right -
my peak since installing the new server is 1.92g.

We're very happy with the performance of the new hardware, but in our
office, DS gets a ton of use by most of the employees most of the day, so
the performance boost justified the cost. You can surely get by on less
server depending on your needs - I actually had it running on an XP desktop
machine with 512 mb RAM, although obviously not in production. Xerox didn't
think it would even run on a desktop OS, and I'm not sure they believe it
still.
