On one of our web sites, we have a Q&A page for customers to post questions
which generates an email to the appropriate support person(s). Initially I
was going to set it up so that these emails would be directed to a public
folder's email address. My only problem is that if 3 (or 5 or 50) people
have access to this public folder, and one person responds, how do the other
people know that a response has been sent? In other words, is there a way to
have responses automatically stored and tracked (like message threads) in
this public folder?

Kevin - In Outlook, create a view that includes the information you want
displayed. Then click View/Current View/Customize Current View (or Define
Views). Click Group By, and choose how you wish to group the messages.
Subject seems like a likely choice.

Hopefully this will give you the type of view you're looking for. By the
way, if you have a subject "What's for lunch," the RE: What's for lunch"
messages will group with the initial messages. Outlook is smart enough not
to group all the messages beginning with RE together.

When we do views like this, we save them as "Office Standard View," adding
additional description if there's more than one for a given folder. The
Office Standard View of a calendar would not be the same as the standard
view of a contacts folder, but any user would know that the Standard View
for any folder reflects what the folder was designed for. They can do their
own custom views from there if necessary.

Problem is that replies to posts that are in a public folder are not
maintained in the public folder. Rather they go into each person's 'Sent'
box.

Hi Kevin,

I don't think you can change that behaviour. You would have to do that
manually by copying the sent items from a users mailbox to the sent items of
the public folder.

I'm sure there's a third party product or add-in that will do this - there
must be thousands of help desks that use Outlook in this way. In the
default setup of Outlook/Exchange, I can't think of a way to do what you're
attempting without relying on user cooperation. For example, you could have
the replying user CC the public folder (assuming you can figure out a way to
have the CC sort with the original message). Or, you could have the
replying user move the message to a subfolder (one per user, for example)
and have them copy replies into the subfolder.

You could try www.slipstick.com or one of the Outlook groups.

This gets into Outlook forms customization and it's been ages since I even
attempted anything along those lines but I think what you need to do is
create a custom form that will be used for any replies to messages from that
public folder. This form would automatically insert the email address of
the public folder into the BCC field of the message form (I would think you
would prefer it to be there rather than in the CC field.

Alternatively, you could have this custom form automatically save a copy of
the sent message to the public folder rather than to the user's Sent Items
folder. This might actually be the preferable option since it would prevent
message from being saved in both locations (user's Sent Items and the public
folder). Never mind. That wouldn't be a problem in Exchange, would it?

You could then install that form into the public folder in question and make
it the default form for replies.

As I said before, I haven't done anything like this for a very long time. I
have a book from MS Press call "Building Applications with Outlook 98" so
that should give you an idea of how long it's been. I don't know if there
is an equivalent book for OL2K or later.
