Hi all,

SBS2000 installed at the weekend - all went nice and smoothly, so starting
off OK [for once!] - strange query here - kind of a 'how to'...

When setting up our users, I opted for the same login config as we'd had
previously on SBS4.5 - namely InitialSurname01 as their username. That's all
fine and thereafter once we'd done them all we went in and added the range
of other email addresses we wanted to arrive at each user's mailbox also.
Again, fine and dandy.

Problem is really with regards outgoing mail addresses. I've tried setting
firstname.surname@company.co.uk as the primary but this keeps getting
immediately [or thereabouts] with initialsurname@company.co.uk

Only thing I can think of is that this is being overwritten by the tick in
the box for 'Automatically update email addresses based on recipient policy'
on the same tab.

When we go into Exchange System Manager and look at the default recipient
policy it *appears* to offer only the option of setting the SMTP type as
@company.co.uk [which I presume is causing the email addresses to be
automatically updated as login_username@company.co.uk] - are there any
settings either in here [kind of a fields thing - you know
<firstname><surname>@company.co.uk] or anything anywhere else that we could
set to resolve this?

Or do we have to amend all the logins for all the users [which no doubt will
mean chaos with the profiles etc on all our XP Pro clients] :-(

Anyone got any bright ideas?

Cheers in advance,

David

You could have done this with recipient policies, and every mailbox
would have had the additional addresses added automatically.

You can choose any of the defined SMTP policy entries to be the
Primary, and this reflects what is used for outgoing emails.

The Recipient Policies will be regularly re-applied to all accounts
where this is ticked. In 99% of cases, this *is* what you want - it
just takes a little getting used to the idea of setting something up
once, and then watching it ripple out to all users automatically.

You can have lots of entries here, all different. And for each entry,
you'll get an address assigned to every account. In fact, when combined
with OUs, you can even apply policies on a per-OU basis, which allows
for some really powerful address management.

Changing user logon names would not impact user profiles at all, as the
SID stays the same. But the "account-modifying" solution is to change
the Alias, not the logon, since the default recipient policy of
"@<domain.com>" actually translates to "<Alias>@<domain.com>".

Hi David,

You need to create an additional address generation item in the recipient
policy.

Click the 'add' button. Enter %g.%s@akdsystems.co.uk.
Once entered, & ok'd, enable the address by placing a check in the tick box
beside it. Also, highlight it and press the 'primary' button.

If you receive a message like 'apply this to all' answer yes.

Now all users will have email addresses like
firstname.lastname@akdsystems.co.uk

The firstname and lastname are pulled from what you entered in those fields
when you set the user up.

One caveat: There is a cosmetic bug. After making this change, every time
you run the ICW the following two things will happen.

1) the domain name on the email configuration page will be automatically
filled with @akdssytem.co.uk. This is not a valid domain, you have to delete
the @ sign.

2) every user will get additional email addresses like
%g.%s@akdsystems.co.uk. You can delete them, but you have to do this
manually for every user every time you run ICW. As they don't really cause
any harm, you may as well just leave them be.

Re: Default 'Outgoing' EMail Addresses by David

David

Hi Les,

Thanks. The %g etc was what I was after really. Eventually found it in the
Help files thereafter! Had to change the first name and surname to lowercase
as once I'd applied it the email addresses defaulted to Firstname.Surname
rather than our publically given out addresses of firstname.surname

Is there an easy way of telling AD/Exchange/whatever to ignore the case of
incoming email addresses? Would make my life simpler!

Cheers,

David
