I need to generate a report from MS projects that gives me weekly totals that
are gouped by data in the Activity column. Activity is a custom field of type
text1.

Syntax error
I am trying to save a multi project file as a Microsoft Access Database.
When the export map contains the fields: % Complete, Actual Start, Actual
Finish, Total Slack and Unique ID I get a message "[Microsoft][ODBC
Microsoft Access Driver] Syntax error in field definition." and the export
fails. If I remove these fields and leave only fields such as: Start,
Finish, Duration everything works fine. I made some custom field that had a
space in the field name and when these are included in the map the export
again fails. When I rename these fields without the space the export is
successful. It appears it is the space in the field name that is the syntax
errors causing the failure. Is there some work-around or a way to rename the
fields?

Resource Usage view not working correctly
Hi,
I just upgraded to MS Project Server 2003 and in MS Project 2003 client I
cannot get the Resource Usage view when opening a enterprise project to bring
in a resources assigned tasks for other projects. It is only brings in
assignments for the current open project. This did work fine before the
upgrade.
I followed the steps suggested by the below link, but it still isn't
working. Anyone have any ideas?

How to switch on/off of combine view in Gnatt Chart
Hi all,
Sometime I get the combine view of Gnatt Chart on top pane and Task
details on the bottom pane, I do not know how to switch it on/off.
When I create a new Project View, I will be asked to define the
"Combine View" but I don't know how to re-define or switch the combine
view on/off.
Any pointer?

Comparing Baseline to Current Work Effort
I have baselined my project and have been updating the Actual Work field as
work has progressed. However, we are about 25% of the way through the project
and have a change request which extends our timeline, adds some new tasks,
etc. If I want to see the variance between the Baseline and the new work as a
result of these changes, what's the easiest way to do that? Right now, I'm
running multiple reports (like the Who Does What When or Resource Usage
reports) but my numbers are off and I can't figure out where the problem lies
because I'm having to search through multiple reports.

Field Mapping Questions
Ok, further to previous questions I have now mapped a field in my access
database called 'resource allocation' to the 'units' field in project. In
Project I can only find 'units' under the resource tab of Task information,
also it is going in at the default 'max units' value not the value that
should be imported from the mapped field. Any idea what I am doing wrong?
Also what do I have to do with Access to set 'Task Type' to 'Fixed Duration'
and set 'Effort Driven' to No?

For a long time I am finding a feature in MS project 2003. Please help
me if you know how or alternative solution:-)
As you know, there are some tasks are Predecessor of other tasks, and
for a project, the schedule of many tasks are relevant. Therefore, if
we change one task schedule(start date or end date), it is possible to
bring schedule change for many tasks at the same time. It is really
hard to be aware of all the change points, which may bring later
suprise or potential risk if some of the task schedule is improper.
My questions is, is there a way to highlight (bold? color?) all changed
schedule of the affected tasks therefore I can check them all ASAP.

Time entry and Approval - Project Web Access
Hi,
We use Projwct web access to track time. When a close a period the resource
cannot enter theire time for that period anymore. But if they have already
entered their time on the server and I close the period and than the manager
approves the time after the period is closed does the time gets logged
towards actual work protected and saved on the server or it does not.

Provied Import/Export between Project 2007 and Primavera Suretrak
I work for a General contracting company. Often contracts require that we
use Primavera Suretrak software to provide updates on construction projects.
It would be helpful for Microsoft to provide export from Project to Suretrak
so that we could track projects using Microsoft Project and then export to
Suretrak to provide updates to fulfill the conditions of the contract.

Project web access - Pivot Table
Hi,
When I log into the portfolio Analyzer and use a blank pivot table to create
a pivot table report I get a list of fields which I can drag on row are or
column area. How can I add additional fields from to this list. We have a
field called "Resource Code" we would like to use it for reporting.

Resource Unit Import
Hi All,
Can the resource "Units" be included in an export from an Access database
into Project?
Or is there another way??
I have an Access database with a single lead officer against each project
and with a percentage allocation of that resource. i.e. 50% for half time
spent on the work etc. It really would help if I could automate getting that
into project!!

EPM SERVER Resource Pool and Rights
I seem to be having an issue with giving a user access rights to check-out
and edit a project file from the SERVER.
I've added him as a valid user under the PWA ADMIN manage users interface,
and provide 'project manager' rights, which should provide necessary
privledges.
The users can see projects on the server, but is unable to check-out and/or
edit.
Does the user need to be a member of the Resource Pool in order for this to
work? The reason I didn't add him in the first place is that he is outside
our immediate group, and hence I had planned to treat him as a LOCAL to a

RUP vs UML
Hi,
I am new to this industry and have been working as a Business Analyst
since the last 18 months. In this time, I have managed to understand
the processes in my company and also the basics of Business Analysis.
What I would like to discuss here is, can people who are in similar
roles, tell me how RUP is used in daily project management. So far, I
have been reading stuff like how it helps a project manager to manage
his project plans. But I am more interested in knowing if Business
Analysts use RUP and if so how? My main confusion lies in the fact that
there is simply too much terminology going around. Yes, I understand
and work with use cases and sequence diagrams and class diagrams etc.
But is this all part of RUP or is it just a case of me realizing that I
am already implementing RUP. The RUP talks about Phases, Iterations,
Workflows etc. But isnt this what we all do anyways? We define our
project based on the various phases it goes through, like an inception,
then the stage of elaboration the simple requirements to more granular
levels and then the solution specifications, design specifications and
so on. So what exactly it is that RUP promises to improve? Again, is it
all jargon? And how is RUP and UML interlinked? By now, some of you
probably understand my predicament. See if any of you can give me a
practical real life example out of your day to day work and help me out
of my ignorance.

Import Maps
Hi All,
Are the maps that are created when an Access mdb file is imported into

I would like to send my team members mail about the Project Plan
periodically.
All of the employees in our company have an e-mail id configured in outlook
express.
I wanted to establish a workgroup and send mails to them.
But when I looked into Tools-->Options there is no Workgroup tab at all.

fitting an MS Project file to a wide format output
I'm new to MS Project and I have a request from a client to tile a multi-page
document onto one continuous sheet.

Rolling up baseline, fixed and Variance costs
Being a novice with Project, I just want to input estimate and actual costs
and obtain a variance for each task and a roll up for each group of tasks and
the whole project. To do this, I found I had to use Baseline cost for
estimate, fixed cost for actual, and then calculate the variance. This
enabled me to input the estimate(baseline) and actual costs(fixed) and obtain
the variance for each task, but I am unable to rollup the totals by group and
the overall project.

Calculation of Start date by Project
My colleague and I are trying the same entry in MS Project and are
getting different results:
On my PC, I enter:
task 1 is 2 days duration
task 2 is 3 days duration
task 3 is 4 days duration.
I then enter resource1 to task 1. Project shows task 1 starting 28June.
I then enter resource1 to task 2. Project shows task 2 starting 30June.
I then enter resource1 to task 3. Project shows task 3 starting 5July.
my colleague does exact same steps.
his Project tells him all 3 tasks start on 28June.
I have searched this user group - and found the entries from last
summer - all of which we have tried (ensuring automatic calculation is
on, verifying constraints are asap, verifying no constraint dates, no
predecessors, calendars are set identically to work a 6.5 hr day, no
start date or end dates are entered, etc., etc.)

A CHALLENGE FOR THE BEST OF THE BEST!!!!!
I asked a similar question in the Excel area, much to no avail. I stumbled
across Project and asked our company's IT department to install it on my
computer. They did and now i'm stuck... i've never used this before and i'm
not even sure if it can do what i need it to...
I work for Pepsi and here's what i need to do (regardless of whether i use
Excel or Project):
Schedule employees (merchandisers) to be at stores (ie - Walmart, Meijer,
Kroger, etc) at certain times of the day. I'd also like to have that
schedule reflected in a way that shows each store and it's coverage, per day
/ per week, with only having to enter the data once. This schedule will
change weekly, including who will be at which stores and at what time. It
doesn't necessarily need to be an 'on-going' schedule, as it will only be
looked at week to week. I would imagine each week will just be modified as
needed, based off the previous week (now i'm just rambling, huh?)
I'm having trouble because i'm not familiar with Project yet. Hopefully
someone can*actually* help me, and i don't get too many people telling me to
buy a book on Project or to take a class, because i don't have much time to
figure this out. I'm pretty quick to latch onto something once i understand
how the basics work, but if someone can loan me their expertise, it would
certainly speed up the process. This, to me, seems to be a lot like Excel in
some ways, but i'm hoping it can do so much more for me.

Report Customization
I am having a problem using MS Project 2002.
I have set up my project. I would like to create a report for all tasks
that are sure on a specific 'Finish' date. Thus I would like to create a
report that only contains the tasks that are due for completion on June 30,
2006.
I would also like to create a report on a Monday, that would provide me a
list of tasks that would be completed during the week cited. Thus I would
want to enter the date range: July 10 thru July 14 (Monday thru Friday). The
report would list all tasks that have a 'Finish Date' within the specified

I have a task that is scheduled for 5 days duration, has a dedicated
resource, and is set to start asap. While the task starts as expected, it
spans a whole month !

How to calculate inflation in MS Project
Is there a way to calculate inflation in to a project? I have a fixed cost
for a 12 year project. I need this to be broken down yearly, where each year
the cost would increase based upon the inflation rate of 7%. I need to be
able to create a cost report showing the yearly inflation. Any ideas how to
do this? (I'm a beginner with Project.)

Importing duration and constraint date
Hi everyone!
I think I have a solution to this problem, but I'd like to vent my
frustration.
I have an Excel sheet with Constraint date (Start no Earlier than),
Duration and Name of a number of tasks.
If I import this file to a New MS Project (2003 SP1), everything is
fine. The Constraint Type is added automatically.
If I import just Constraint date and Name, everything is fine.
If I import all fields to an Existing MS Project, the Constraint dates
are ignored completely. I guess there is a good reason for that to
happen, but why on earth do I get no warning that they are ignored? Why
on earth do I get no advice on how to fix it? Why on earth do I get no
advice on why they are ignored?
I tell MSP: import this. MSP fails to do so. MSP gives no warning. I
could have continued working on this Project for days before I noticed
that part of the base data wasn't there.
It took me hours to find workarounds to get the data in there.
Those hours could have been reduced, if MSP had followed the basic
usability guidelines to tell the user when an action fails.
Those hours could also have been reduced, if MSP had given a decent
shortcut to import a file, so one wouldn't have to go through File >
Open > Select all file types > Click on the file > Select Existing
Map.... for every test.
So the work arounds?
I found two ones.
1) First import all fields except Duration. Then merge in duration from
the same Excel file with Name as merge key.
2) Add a column for Constraint Type and type "start no earlier than"
for each line. Make sure that the spelling is 100% correct - not only
because it won't work otherwise, but above all because you won't get
even a hint of a warning if it isn't.
Solution 2) is the most logical one and it was the first one I tried,
but it didn't work - probably because of a spelling mistake, which MSP
didn't bother telling me about, so I gave up at first, thereby loosing
another hour or so.

Using the TODAY variable in a custom filter
For an MS Project 2000 project which has not yet been baselined I want to
create a custom filter to show only tasks which should have started but
haven't.
I've created a custom filter where % complete = 0% and start date is less
than TODAY. Lets say I create the custom filter on 6/26, this filter will
work fine all that day but if I run it on 6/27 it doesn't pick up the TODAY
date because it appears to have hard coded the 6/26 date as the value

Apply a group to a filter, shows nothing
I have a project the contains many seperate subtasks relating to seperate
sites, each have the same tasks.
I want to filter for a set of sites that are arranged under another summary
(the area that they are in)- I have done this using a new filter and then
filter by "summary=yes" and "name contains 'area'", this works fine.
Then i wish to group into tasks so i can find totals of cost for each task
(which are repeated through each site) for each area. When I apply a
customized group either by type or by name no tasks are shown.
I'm sure this makes little sense as i've written it... sorry!

Cannot save changes
Just installed Project 2003 standard & sp 2. I can open the project alright,
but after i make a few changes and try to save to my desktop (or anywhere)I
get the following error.
The file cannot be opened.
Check that the file name and path are correct
Check that the file format is reconized by project
Project files saved in a version earlier that Microsoft Project 98 can't be
opened
... then a nother line about MPX formatting.
Running XP SP2 P4 3.2 2GB ram win 2003 network

Level by Resource Group
Am putting together a schedule for a project to build an airplane. Tasks in
the project are assigned to Zones - areas of the plane where a limited number
of mechanics can work at any one time. These Zones are assigned as Resources,
and Max Units defined for each Zone. Typical Zones are Nose, Cockpit, Cabin,
Tail, Wing, Engines, etc.
Now, several of the Zones (Cockpit and Tail) require full utilization
throughout the entire assembly cycle. Mechanics will be assigned full time to
these Zones. However, other Zones require relatively intermittent work. A
crew of "floating" mechanics will be assigned to these Zones and will move
from Zone to Zone to complete scheduled work.
Resource Levelling acts to leveal each individual resource. This has the
effect of increasing the amount of work at the beginning, and, for Zones with
less than full utilization, decreasing work at the end. I want a constant
crew size throughout the entire project. How can I level resources in Groups
- such as, Cockpit, Tail, and All Other - so that I can better manage total

Change Working Time Not Saving
I am working on a stand alone copy of Project Standard 2002. I have multiple
projects running with separate project calendars. I would like to update the
calendar for a particular project to reflect all days that the project team
as a whole is not working.
Some of the project calendars update and save via Tools->Change Working
Time, selecting the day and selecting nonworking time. However a few of the
plans will change while I have it up. Once I save, close the project, and
reopen it, none of the dates I entered are listed as nonworking days.
I have also tried to copy the calendars from the projects that were able to
save the information. But the information is still missing when I open it.
What is happening that is different between the two projects? How can I get
the calendar to recognize the additional nonworking days? Tag: test Tag: 106351
Resource Name Issues
In my project I've got my own resources and it's also linked to a resource
pool for certain items. When ever I type the name for the resource in the
resource column it never looks up what is in the resource field. Is there a
way to do this? IE if Fred is in my project and in a Task I assign it to
Fred by typing his name why doesn't it pick it up?
