    - Project 2000 - total resource usage ?? I have four plans sharing a resource pool. These four plans reflect the entire workload of many small project for an entire dept in our Company. Although I can see the resource loading for individual resources what I want to be able to do is see the overall aggregated loading for the entire resource pool.     - Practical use of Update Tasks process and %age complete - a PMO perspective? Guys hi, In terms of using a baseline and gaining information on project variances in the real world, what have you experienced with PM's updating or not updating their project tasks %age complete? In your work place, is there an edict stipulated by management that is well known by all PM's that is a non-negotiable requirement to update their projects every Friday before COB? Or Is this an adhoc process, done when and if the PM has time. Is this seen generally as an Admin overhead in project management, the first thing to fall off the bench when 'times get tough'....?     - Project 2003 labor hours- problem I have tasks that has 4days duration. I know the resource of the project manager(PM) is 12 labor hours. Is there some way I can enter the PM labor hour as 12 . At present if i enter 12 hours it changes the duration and the resource unit also changes. I don't care about the resource unit all i want the 4days duration and 12 hours.     - Assistance with Project 2003 Just started using 2003 for my construction company. Submitting programmes for tenders and there are a few things i still cant do. Firstly, i want to customize the legend, the closest i have got is to remove it which i dont want to do, i just want to copy the bar types into the legend rather than have the generic legend that the gantt chart prints off!!!     - Projsect Upgrade I recently upgraded my computer and when the IT department copied over all the files, they failed to load my Project. As such, when I bought the upgrade for 2007, the program couldn't find a "qualifying" product. So I found my original copy of Project (Version 4.0), installed it, then tried to upgrade with Version 2002 with the intention to then install the upgrade for 2007. 4.0 installed successfully, but 2002 stalls during the upgrade process giving me the "qualifying product not found error message." I can open the 4.0 version just fine and I am puzzled as to why the 2002 version can't find the files. Can anyone help? Tag: project 2003 Tag: 125525

    - WBS; Task Description Sheets I like to have detailed task descriptions for each WBS item that I give to my team to fully describe the deliverable, prerequisites, expected deliverable, required resources, acceptance criteria etc. I usually create these in Word but its a real pain if I adjust the MS Project file that renumbers the WBS.     - How to turn off constraint updates I would like to turn off the constraint setting. I am entering schedule dates from many outside sources and sometimes I have to enter the start and end dates provided to me. When I enter the finish date it sets a Finish No Later Than constraint. When I have to change dates, it often will not accept the dates I type in due to the constraint type and date.     - Re: Project Server 2007 Connectivity Hi, We have Project Server 2007 installed on Windows 20003 SP2 Standard Edition server in a stand alone mode. Now, we have few clients with project professional 2007 installed on their desktops. We are trying to synchronize Active Directory Server so all users in-house can use project server 2007. The synchronization does not seem to work, when we try to connect from the client to the server it fails and says wrong username password eventhough the username passwords are given right.     - Assignment Custom Field I can't seem to find out how to view a custom assignment field such as text1. In the Office Onlie Help, it says: "Assignment fields can be displayed in the sheet portion of the Task Usage and Resource Usage views and at the bottom of the Task Form and Resource Form." I haven't been able to insert an assignment text1 field in any of these places. I'm not sure what is meant by the "sheet portion of the Task Usage".     - Printing a very big project We have a file that is about 5 MB and about 3200 lines. we cannot preview it nor we can print it. I have tried to just print 5 sheets or even 2 sheets at a time, it gives me out of memory error. Any ideas or suggestion would highly be appreciated. I am not an expert at all.     - Printing Project Calendar to Display all tasks for each day Is there a way to format the printing of a calendar so that all tasks for each day are displayed?     - Resource Availability not behaving as (I at least) expected I have a fixed work task of 80 hours. Assigned one person at 100% so the duration is 2 weeks. Assigned a second person at 100% so duration moves to 1 week. Perfect. Used Resource Availability to set up a second person with 0% availability for the first week and 100% availability for the second week. Inserted a second 80 hour fixed work task that starts after the second person has 100% availability. Assigned both resources, duration is 1 week. Perfect. HOWEVER, if I assign the second person to the first task so that availability starts in the middle of the 2 week task duration, MS Project assigns at 0% for the entire 2 week task. I expected that the person would be assigned at 0% for the first week and 100% for the second week when they become available at 100%, thereby reducing the duration from 2 weeks to 1.5 weeks.     - Installing Project 2007 with 2003 I have two courses being taught on separate versions. I have deployed the other office apps in parallel. Except for a slight hic-up with Access configurations, this all seems to be functional. Unfortunately, when I added Project 2007, it breaks Project 2003. The app will launch, but will not save project files: An unexpected error occurred during command execution. I recorded the macro to run this and the returning code was meager- one line only(ReportPrintPreview Name:="To Do List").     - one task, many students and teachers I'm still new to project, and I'm having trouble with this. Basically, I have a task, I'll call it a "lesson." This lesson has many students (say 20) and many teachers (1 teacher for every 2 students.) I basically want to tell Project "I have 20 students that will need teachers (1 for every 2 students) for this task." Is there a way to do this?     - Not able to connect with project server Hi All, I have setup project server and SharePoint server. I am trying to make connection using office project professional, but I can't. I am getting the error that "Login failed. Project could not connect to the server. Please check username and password and try again". I tried different username and password but it's not working.     - Adding up work for predecessors I can select a task an either use Split or Task Information --> Precedecessors to see all the predecessors for the task. Does anyone know how to add up all the values for work of the predecessors to see that total amount of work for the item and all its predecessors. Using summary task is not an option because I am using summary task to represent component areas that get summed, but the critical path spans component areas.     - sharing Project I am the IT person for a small business. I am only generally familiar with MS Projbect. My boss has been researching Project and asked me a question about sharing the application. He wants to have 4 users both within and without the company collaborate on a project. However, he wanted to know if he bought 1 copy of Project and it would allow this. I told him I wasn't too sure about how to answer him. I said that it probably wouldn't work but would do more research. So I guess the question is: what is needed to allow several users to collaborate on a project using Microsoft Project, and some of those users are outside of the company?     - Gantt Chart data question I have a MS Project 2003 file whose Gantt Chart shows the name of the resource and the % of time that resource will work on a task. It looks great. However, I would like the gantt chart to show the number of hours the resource will work on that task instead of the precent of time assigned. I dont see an option for that in the Gantt Chart Wizard.     - Levelling resources I have two partially overlapping activities with the same resources assigned. What I'd like to do is to make activity start date have priority over resource allocation so that when I level resources the activities still start on the same date, but a resource's time is divided by the two activities. I.e. Act. 1 sept. 1. - oct. 1. and act. 2 sept. 15 - oct. 15., resource X assigned to both. The result I want is that X is assigned 100% to act. 1 from sept. 1. to sept 14., then 50% on each activity from sept. 15. to oct. 1., and then 100% to act. 2 from oct. 2. to oct. 15.     - Effort driven scheduling Hi, I have a basic project plan for a project that I am working on- the only resource allocated is myself. I have added timescales indicative of 'effort' rather than 'elapsed' time. I now want to add myself as a resource, but show 70% utilisation to reflect my time dedicated (as effort) to the project. However, when I add myself as a resource on the top line of the project, the end date of the project remains the same- I expected it to be slightly later, reflecting my 70% productivity rate....any ideas??     - change working time Hi, im Yogi. i would like to ask about change working time in Project Profesional 2007. I have created Project in Project Pro then i publish. In the next day... i open that project in project pro and i want to set my employee working times. I go to tools -> change working time. but i couldn't write anything in exceptions fields. I really sure that i have logged in as Project amnager and im sure that i have administrator priviledge in Project server. Then i tried to work offline. I saved my project as mpp file in local storage. Then i open that file, i go to tools -> change working time. Now i can read in the exceptions field.     - MS Project integration with Excel and Access I would like to know if there are any good books and training classes on the integration of MS Project with other office products like MS Excel, and MS Access. I would prefer a book first, to study at my own pace, and afterwards, perhaps a class. For example, I may want to manage my project using MS Project, but may want to analyze or group tasks, people (reources), etc, using Pivot charts in Excel.     - File Properties Summary Title - association with file name Hi, MS Project 2003 - what is the relationship between the file name (myproject.mpp) and the 'File\Properties\Summary\Title' line? (text entry of project descriptor/title) I've seen two situations occur. 1. The file name is imported into this title and when edited, saved, closed, reopened, it reverts to the file name. 2. The summary\title can be entered and everything is fine. Consolidation process: When linking or inserting files, depending on the scenario above, either 1. the filename is seen as the rolled up first line of the project or 2. the required summary\title information is seen as the rolled up first line of the project I've looked under the Options for settings here but cannot find any reference. The only solution to the above problem is to remove anything in the Summary\Title panel and save, then reopen, edit the Summary\Title panel and save.     - Who Does What - One more piece of info The "Who Does What" report is perfect for what I need except for one crucial piece of info. All of our tasks are a subtask of a larger portion of the project. Lisitng the individual tasks without the context of the parent "task category" leaves some odd sounding tasks. Is there a way to include the parent tasks for the individual task so that the resource has the entire context? Example: I have an "Engineering Tasks" section of tasks. Say I have tasks 1. Complete code 1. 2. Complete code 2 etc. When I run the report the assignment only says: Complete Code 1 <DETAILS DETAILS>. I want it to be formatted like this: Engineering Tasks - Complete Code 1 <DETAILS DETAILS> or Engineering Tasks Complete Code 1 <DETAILS DETAILS> etc. I can provide additional detail if needed.     - Automatic Notification of task changes Using: MS Project 2002 without MS Project Server Background: I'm working on a very large project. Currently, we have a certain group of individuals who collect updates. Those updates are then fed to two people who are the only ones allowed to update the project plan. We currently do this via "live" meetings but are considering switching to email updates. This has brought up the concern of how do we know that our updates have been made? I've done some research on how to ensure that updates notifications are sent out automatically. The information I found was geared towards notifying the resources for a task, however. Those of us who are gathering the data and feeding the updaters aren't listed as resources for our tasks, and it would be cumbersome to add us to each and every task. Is there a way to tell Project that if there are updates to a task, to match the data in a specified column with an email address and send an update notification for that task only to that address? For example, say there is a column titled "Project Number" and the numbers 1 through 5 are listed in that column. I'd like project to send notifications to PersonA if the number 1 is present in that column, PersonB if the number 2 is present, etc. Is there a way to do this? Is there any way to enter in work in hours and get the corresponding duration before you assign a resource.     - Lag / Lead Time I have a task (A) that will require 7.2 hours of work but is not estimated to finish for 10 days. Another task (B) has a FS link to task A. My questions pertains to the best way to account for the estimated 10 days it will require task A to complete. Should task B have a FS+10 days lag time? Or am I better off putting a constraint type of "Finish No Later Than" on task A. Right now I have task B linked to A with a FS+10 Days, What prompted my question is that task A is scheduled to start on 8/10/07 and end on 8/11/07 (7.2hrs), when in reality it isn't estimated to end until 8/24/07.     - Print Multiple Projects Calendars Hi, I work for a residential remodel company who has recently begun a transition from ad hoc excel/outlook project tracking to MS project 2007. We have created project files for each of our jobs and also created a master project (don't quite know how we are going to use it yet). I have a weekly meeting that requires me to print project calendars (not gantt charts) for the current month for each job. I currently have about 45 projects that will need to be printed weekly.     - Problem Updating Actual Work Thru Collaboration I'm using E-mail collaboration with Project 2003. I get weekly updates from each resource that contains the Actual Work in hours for each day and the Remaining Work for each task. These are the editable fields in the Progress Request form that's attached to the e-mail I send. What I'm finding, however, is that the Actual Work value in the Project file is being overwritten with the current week's hours rather than accumulating the hours week-to-week. For example, I have a task with a baseline of 17 hours of Work. Upon receipt of my Progress Request for week 1, a resource enters 8 hours of Actual Work toward that task and changes the Remaining Work to 9 hours since the original estimate of 17 hours still looks good (Remaining Work would be increased or decreased if the task required more or less time to accomplish). When I get the e-mail reply from the resource, I update the project and the Work, Remaining Work and Actual Work values for the task are properly changed in the Project file. For the Progress Request for week 2, the resource enters 1 hour of Actual Work for the task and changes the Remaining Work to 8 hours. (Remember that this task has 17h of Work, 9h of Remaining Work and 8h Actual Work from week 1.) After updating project with this information, I would expect the following for the task: Actual Work- 9h <the cumulative result of two weeks of effort>; Remaining Work- 8h <as entered by resource>; Work- 17h <the sum of the two previous values; unchanged from week 1, since the resource still felt the task was on schedule>. What I get is: Actual Work- 1h <ONLY the current week's effort>; Remaining Work- 8h <as entered by resource>; Work- 9h <the sum of the two previous values>. To compensate for this problem, I've been manually entering the weekly hours using the Task Usage view, but this causes problems synchronizing information between me and the resources.     - Scheduling and resource allocation Is there a setting in project that can be changed to prevent it from changing the time line on my scheduled tasks based on the resources allocated to those tasks? I know Project adjusts the timelines based on how many resources are available and what percentage of that resource is allocated to the task, but I dont like that. I do not want my schedulling to be so automated. Rather, I want to schedule to task myself and then have the timeline stay just as I set it after I have assigned resources, no matter how many I assign. I have no intention of managing the time or work my resources have attributed to a project. I siomply want to have a logical sequence of the tasks, establish the timeline and assigne accountability. Task A (50 hours of work) can only be done by Bob, but Task B (100 hours of work) can be done by either Bob or Steve (or both together). I'd like to able to level resources to find the minimum duration for these tasks, but I'm not sure how to do this. The solution that I'd like is for Bob to work on Task A until it is complete, during which time Steve will work on Task B. Once Bob has finished he can help Steve with the remaining 50 hours of work on Task B, which should take a further 25 hours. So the total duration is 75 hours (50 hours with Bob on Task A and Steve on Task B, 25 hours with both on Task B). If I assign Bob to Task A and both developers to Task B, then level resources, then they are assigned as I expect for the first 50 hours, but Steve then stops work whilst Bob continues to toil on Task B for the next 50 hours. I can resolve the problem by manually redistributing the work on Task B so Bob does 25 hours and Steve does 75, but I'd like this to happen automatically. Is this possible? F9 to recalculate. Tools/Options/Calculate automatic.

You didn't key in dates manually did you???
