    - Fixed Duration Question I have my default task type set to fixed duration. I have a task with say a duration of 2 days with 1 person assigned to it. If I add another resource and ask Project to reduce the duration (using the smart tag option) I expect it to halve the duration. Sometimes it does, other times it doesn't. I have tried ticking the effort driven check box and sometimes it even increases the duration! What's going on? If I fix Duration, then why is it changing?     - Critical Path - Non direct tasks such as manage schedule, etc. Hello, I set up a schedule with 4 Non direct tasks such as Business Analyst oversight, manage project, etc. I set these up as fixed duration and I do want them to run the length of the project which is one year. I have them finishing slightly shorter than the end of the project but that still doesn't make any difference. These are masking the true critical path of the project as they have 0 total slack and are flagged as critical. I can set the multiple path on and than it will show several critical paths.     - Using Scrum for Project 2003 in Project 2007. Problem Hi, I downloaded and installed the Solution Starter Scrum for Project 2003. I use Project 2007 though. Everything works fine al the way up to exporting the Scrum data (text only) to Excel. But when I use the option to generate the Scrumdown graph in Excel it gives an erro 1004 followed by several errors 440. I am not a VB specialist, just an end user.     - Updating Actuals at a summary level using PSI We are trying to update actuals in Microsoft Project server 2007 using PSI. In the past we have used the object model and we were able to update actuals on a summary level. In fact it seems we can still do so today using Project Professional. However, it does not seem as if we can update actuals in Microsoft Project server 2007 using PSI. is there a reason this does not work?     - Project won't let me open my file! Using MSP 2003 Standard, I have a project schedule that is stored on a shared drive. When I try to open it I receive an error that states something along the lines of "Can't open file because the rows may have exceeded the 1,048,000 limit...". This project has nowhere near 1million task lines. In the error message, MSP suggests that I fix this problem, however when I click "ok" on the message box, MSP doesn't open my project to allow me to fix it. Has anyone experienced this error? How can I get back into my project? I have a back up, but had just made changes and would like to salvage the latest version, if possible. Any help is appreciated. Thanks!     - Critical Path I'm a new user trying to finish a school assignment. According to the Gantt chart, the file I've got shows a critical path starting in the middle of the project. Doesn't it need to start from day one of the job? Also, in network diagram view, should all tasks somehow be connected. I've got quite a few just hanging there alone. Sorry to seem to stupid, I realize these are probably very elementary issues but I didn't create the file and it's difficult to backtrack.     - Can't Get a Field to Display the Results of My Formula I have checked previous postings & gotten some great tips but I must be missing something 'cause I just can't get this to work! What I want to end up with is a field that displays the difference in days between the date in the Finish field and the date in a custom field called Required (Date1). I've customized the Date2 field to have this formula: DateDiff("d",[Finish],[Date1]). The formula is accepted but there is nothing displayed in the Date2 field. Any pointers much appreciated!     - Conditional Formatting? I wanted to use conditional formatting on a new column in my task sheet, but it seems that is not an option in project??! I want to find a way in the activity sheet to display a column that will show the status of each task activity in a solid color. I would like to have a solid block of color to indicate if the status is red, green or yellow in the task list itself so when I open it I see it immediately. Where the cell structure in Project is so similar to that in Excel I'm sure it can be done...but here's my problem I downloaded the MS Project trial from Microsoft and in the task sheet I was able to change the background color but I have no idea how to apply that color to tie in with a status or change it easily. At first I simply added three columns before the task field and named them red, yellow and green then right clicked on the title to change the back ground color then my question becomes how to automatically select them for each task...after playing around a bit I found that once I created the columns I'm unable to delete them, I can only hide them. This seems odd, I referenced help and it mentioned you would need admin access to delete columns? At least I know that the background color can in fact be changed but how can I make it part of the task where it can be selected in the column. I checked out the flag field options and it only allows for yes/no text in a drop down menu. If I had a column with a drop down menu containing three color options it would be a good start. Also can anyone recommend any resources, as to what the best way to learn Project is? I'm using a series of curriculum my company provides and it's just not cutting it.     - Customizing Fields and calculations I created a custom field for Revenue. It's a simple calculation of 70*Actual_Work. However, actual work has the hrs designator in their so in order for this calculation to be correct I have to use another field and take the hrs designator out of the field. Is there any way to use Actual work the way it is with the hrs designator in their with the formula.     - Sheduling delivery and installs I've done some searching but didn't find anything that spoke specifically to what I'm trying to do. I'm using Project 2003. My main question is related to equipment delivery and the best way to deal with it. Here are the particulars: 1) We have ordered the equipment from the vendors, they have given us delivery dates. 2) For some of the equipment the vendors are installing it, so the dates on when they will be here are fixed. 3) For the equipment we are installing ourselves, work obviously can't begin until the equipment arrives. I've seperated the items into summary tasks, each with several sub tasks (including delivery). An example is below: Storage 12 days Wed 6/6/07 Thu 6/21/07 SAN Arrives 0 days Wed 6/6/07 Wed 6/6/07 SAN Implementation 4 days Mon 6/18/07 Thu 6/21/07 I've set the arrival task as a milestone.     - Changing duration inhibited by Cost Resource's "inherent" duration I have Project 2007, and have put together a file using multiple Work Resources and Cost Resources. Some tasks have both types assigned to them, with hours assigned to the Work resources and dollar values assigned to the cost resources. The problem arises when I edit the duration of the task. If I lengthen a given task, all is well. If I shorten it, the "entry" table of the Gantt chart shows that the duration has been shortened, but it still maintains the same start and end dates and the same visual bar length -- both of which conflict with the new duration. I traced the problem to show up on the Task Usage view with Summary Table, where it shows that yes indeed, the duration and start and end dates have been correctly adjusted for the Work Resources, but not for the Cost Resources, which maintain their original start and end dates. These are the dates for the task as set prior to resource assignment. Manually shortening those dates in this view fixes the problem. However, it more or less eliminates the ability to visually manipulate the Gantt chart bars, look at resource allocation leveling, etc, since the bar length does not correspond to the task durations. Task settings are basically fixed-duration, non-effort-driven, prorated accrual. Is there a toggle that I'm missing to allow the Cost Resources to stop inhibiting normal task duration editing?     - Incorrect calculations in custom fields I've created a custom cost field that represents the total value of a deliverable and a second custom cost field that calculates the revenue earned to date based on the % of work completed. It uses a formula that calculates [total value]*[%WorkComplete] and is supposed to display the product in the revenue earned to date field. However, none of the products are accurate when I do the calculations manually and in most cases are off quite significantly (thousands of dollars). Is there a reason why this field is not calculating properly? example: Work % Complete = 65% Total Value = $18,200.00 Revenue earned to date is calculated to be: $4,732.00 (Should be $11830.00) Thanks for your help.     - Filter that will not go away At some point in time my Project became stuck on "Filter for Critical" and regardless of what view or filter I am on when I dave and exit everytime I open the project it is on Filter for Critical.     - Fixed Works/Flexible Resource Units Project 2003, SP2 question: I set up a task of fixed work. Work is set at 40 hours. I enter Resource A at 50%, Project figures out it will take two weeks at 4hrs a day and sets the duration to 10d. All is good. I then enter Actual Work for Resource A. Let's say A works only 2 hours on the first day instead of the alloted 4 hrs. Project then calculates out that Resource A will need to work those other two hours on day 11. Is there anyway to tell Project to leave the duration at 10 and increment the units, at least until a resource hits 100% units. I guess the same holds going the opposite way. If a resource works 8 hours instead of 4, rather than pulling in the duration by a day, I'd rather Project change the units from 50% to 40% (or whatever the correct calculation would be to keep work at 40 hrs and duration at 10 days.     - Resource Allocation. I have several tasks all available to start at the same time, all requiring the same resource. They are summary tasks, with sub tasks below. Once I start subtask1, I want to continue using the resource until I have finished the last subtask for the summary. If I assign the resource at the summary level, I am told that the resource is overallocated, and that the overallocation cannot be resolved. I can skip the allocation of that resource, or just stop leveling.     - Let Task duration change by changing Task finish date Hi, Is there a way to let the duration of a task automatically change when you change the task finshish date. E.g. Task 1 starts on Mon 1st and finishes on the Fri 12th = 10 days duration. I then chnage the end date to the Fri 19th. By default project puts a constraint on the end date, keeps the duration at 10 days and moves the start date to Mon 8th. I would rather it kept Mon 1st and extended the task to 15 days duration.     - Creating reusable components I am trying to find a better way to manage a repeatable project process. Each time we implement a project, we may or may not use every element of a master project plan. For sake of establishing a common communications framework, let's say a full-blown project consists of level 1 elements A,B,C,D,E,F and G. A short project might only consist of elements A, D and G. Some projects might add element B or C. It seems that there would be a way to create A through G in a palette that I could drag and drop onto the canvas (Visio?) to create the individual project plans. Then I could fill in the details for resources, costs, etc. with the resultant output. Otherwise, I have to take the 650 line item master project plan I've created and delete everything that I don't need for each project. Task view seems to be the only way to really do this. I've looked at Network view, but it doesn't seem geared to do what I'm looking for, but it might just be inexperience with Network view. I'm currently working with Project 2003, but I can get 2007 if this is better fleshed out. Worse case scenario is to get one of my programmers to create a Visio <-> Project interface.     - Problem with resource scheduling Hello, Suppose we create the following 3 tasks and assign resources A and B in the following way: - Task A1, Work=16h, Resources A (100%) and B (100%). - Task A2, Work=8h, Resource A (100%), Ancestor=Task A1. - Task B1, Work=8h, Resrouces A (100%) and B (100%). What I would expect is: - A is assigned 8h of Task A1 on Day 1. - B is assigned 8h of Task A1 on Day 1. - A is assigned 8h of Task A2 on Day 2. - B is assigned 8h of Task B1 on Day 2. So the project finishes in 2 days! However what happens is the following: - A is assigned 8h of Task A1 on Day 1 -> ok! - B is assigned 8h of Task A1 on Day 1 -> ok! - A is assigned 8h of Task A2 on Day 2 -> ok! - B is assigned 4h of Task B1 on Day 2. - A is assigned 4h of Task B1 on Day 3.     - How do I change the time scale display & reflect in PWA Hi! Just wondering.. I need to change the display of gantt chart timescale in my project (remove time scale breakdown of weekls in the bottom most tier and use weeks or months) and same settings should apply on the Project Web Access (PWA) once I publish it..     - Resource Assignment - Backwards Good morning peers. Using Project2003. Project Manager has assigned a group of people to work a project- Resource A is available 50%, Resource B is available 25%, etc. They will divide themselves among "n" simultaneous tasks and get done what they can. The total amount of allowed work is given by the period of performance and the %units. We should assume these are Level of Effort tasks. If 4 tasks are in play today, then resouce A will work 1 hour on each task, resource B will work 0.5 hrs. Task start/finishes are different for each task in play. A large group of tasks is assigned and every one of them will have the same resource assignments -- A and B. I have "n" tasks. I would like to be able to select all these tasks and tell project: "Assign A and B to all these tasks such that they are not overloaded while keeping all the same dates." I can make the tasks fixed duration, etc. That is, I want Project to determine the correct units% day by day so A & B are not overloaded. So on any given day, I will have "n" tasks in play. The total allocation of A is not to exceed 50% of their time (4 hours among "n" tasks) and B is 25% (2 hours) among the same "n" tasks. "Tomorrow", "n" becomes a new number "m" because there are a new set of tasks in play (most of which are the same as yesterday). Now I want to divide up A and B using the same rules. The task durations are typically 5 days to 3 weeks (variable) and I need to load the resources so that are not overloaded on any given day. After making these assignments, I will need to return to the PM to verify staffing plan and if there is a sufficeint amount of hours assigned to each task to allow the work to be done. If not, he will either need more people or more duration which is going to be a customer driven decision. Am I asking it to do too much?     - Calendar View Under one project, we are working on three tasks simultaneously. I would like each task to show up in a different bar color in Calendar view.     - How to Generate "Smaller" PDFs Hey guys, I'm on a Mac and my producer has been sending me PDFs of his Gantt charts and they just devour my machine - each page has to build, layer after layer. They remind of incredibly hi-rez Adobe Illustrator files and they just peg my CPU, to the point that I find them almost unusable. Is there a way for him to create smaller PDFs via Project?     - Importing from Excel - Supposed to be Simple... I'm working how to import Actual Cost by Task from a table in Excel into MSP. What I'm working towards is an Excel tool to track and summarize project costs by task, and then be set up to easily pull updated Actual Cost by Task into MSP. I'm getting nowhere with the Wizard. I've built a two-field source table in Excel that looks like this (this is all test data being worked in a sandbox MSP file): Unique ID Actual Cost 2 $100.00 5 $100.00 6 $100.00 7 $100.00 8 $100.00 9 $100.00 10 $100.00 (etc for 75 or so total records) I've tried all sorts of paths through the Wizard, none of which work. The closest I got was with Merging (Prim Key = Unique ID) with Headers a few lines changed but most did not, and I can't figure out why.     - Urgent: Check in Issue (2007) Hello All I am using Project 2007 vesion. Yesterday I was working on a project stored on project server. I will be able to make the changes and publish the projects without any problem. Today when I try to open it is giving me following error You have this project open read-write in another session. To open this project read-write, you must close the project in the other session or check in the project using Project Web Access. I am certain that I do not have the project open in another session. I also checked in "Force Check-in Enterprise Objects ", but there is nothing to check-in.     - Enterprise Resource Pool Problem I have added a new resource pool in the Enterprise Resource Pool.     - Using Generic Resource - Project 2002 I am familiar with implementing a generic resource by simply giving a resource a generic name (Programmer, Analyst, etc..) and assigining that generic name to whatever task is appropriate. In due course, one has the option of replacing the generic resource name with a specifc resource name. I note in the resource information dialogue box, two check boxes which remain unhighlighted. The are the Generic and Inactive check boxes. There seems to be no information in the MS-Project Help. None the less, I am given to believe that there are better ways to signify that a resource is generic. Can anyone explain these two check boxes and how they might be used? Using Project 2003. I added some tasks. In the Optimistic view, I've linked 2
tasks, Finish-to-Start, Start as soon as possible, yet the start date for the
2nd task does not change. When I switch to the standard Gantt chart, the
proper links are visible. Do those other views need to be refreshed in some
way?

Hello maryj,

The PA_Optimistic Gantt and PA_Pessimistic Gantt charts draw their bars
from Start1 to Finish1 (for Optimistic) and Start3 to Finish3 (for
Pessimistic). If you just add new tasks, add links, or change link
relatioships, unless you run the Calculate Pert command again, the
values for the fields are not recalculated. Click the Calculate Pert
button on the PERT analysis toolbar to recalculate the fields.
