    - colour code milestones in calendar view? have a long list of milestones that filtering into a calendar but need to split up those milestones by use of colour coding. currently i am only able to change the colour of the whole group of milestones and don't know how to differentiate some of them so that i can coloour then differently.     - Constraint - Start no earlier than I am setting up a schedule in Project 2003. Within it are a couple of tasks that must start no earlier than Feb. 2, 2006. I have gone into the 'Advanced' tab and set them that way. Perhaps there's something fundamentally flawed about my understanding of this, but I can't see where that's reflected anywhere in the schedule. Next to the tasks are an icon indicating the constraint. But the start date of the tasks is the next day after the predecessor, as if I'd never set it. And if I look at the 'To-Do' view, I see these tasks needing to get done on the early date not the constrained date. I would have expected that Project would push the 'Start' date out to equal with the Constraint date. If it doesn't do that - and it shows up in the earlier date in reports - what good is using it? Currently all of the timescale "timephased" data are based on Week-starting. What I am looking for is someone who has developed a macro, custom report, or mapped the internal data to a spreadsheet to create a week-ending report.     - Cost per deliverable I often manage projects that deliver multiple functionalities in a single release, with multiple sponsors per release. These sponsors require progress reports for their specific deliverables. I would like to be able to link specific tasks to specific deliverables. In addition, I need to spread the cost for overhead tasks (such as project management) over the deliverables (e.g. 80%-10%-10% for three deliverables). The way I have implemented this now is by adding a "number" column and a "cost" column for each deliverable. For each task I enter the percentage that the task contributes to the deliverable. The "cost" column is calculated using [number]*[cost]. This is a very crude way of getting there. Any suggestions for a more elegant method?     - Work Week MSP98 (Newbie Question) Hi Folks - seems like the most basic of tasks has me challenged! I need to set every day of the month (every month) as working time. MSP98 seems to calculate the working week as 5 days regardless of what I set in the Tools>Change Working Time options. For example: 'Nov 14th 05' to 'Dec 11th 05' should be displayed as 28 days but in fact it wont even calculate that period instead changing the start date or end date, and the duration is calculated as 19 days!     - how to get total duration of all tasks in month, day, etc.? I want to know how I can automatically calculate the total of all activity durations in any given day, week, month, year. I now have to count down a schedule graphically, for each month, using 20 days per month max, to calculate the the total work days for the month. Example: say 5 activities are active in the month of April. Three of the 5 are active for the whole month and two are active for 10 days during the month. Thus, (3 x 20 = 60 work days) + (2 x 10 = 20 work days) = 80 work days of total activity in those 5 activities for the month of April. Does anyone know how to get Project to do this?     - Critical Path - Critical Chain Tracking of Projects Critical Chain is a variation of Critical Path; it adds resource leveling to the critical path consideration. Tasks in a chain become critical if task duration or resouce availability changes would cause a delay in the project completion. When I resource level in project, the tasks do not show up in the critical path (view: Detail Gant) unless I set the task precedence. For a task group (using only one resource each task) that should be on the critical path, leveling does schedule the tasks to occur sequentially, but the group does not show up as a critical path.     - Installed Project SP2 - Still having resource baseline problem I installed SP2 for Project 2003. I thought that it would fix resource amounts being correctly rolled up after a Save Baseline for Selected task was performed. I did check the radio buttons to roll up the totals. But the Resource Usage display shows that the Work amount is correct but the total for Baseline Work is not. If I baseline the whole project it works. Our office is trying to have stagg only baseline the tasks that are affected by approved change requests instead of baseling the whole project.     - Can I import data from excel into project I need to import selective data from an oracle data base into MS Project. This information is downloadable through an interface that will dump it into an Excel spreadsheet. It is just raw data. I need it formatted properly for MS Project (with indentions and links).     - Hiding Subproject summary tasks? Is there an option in MS Pro 2003 to only show some summary tasks that I want? I don't want the Project Summary Task to show so I uncheck this in Options>View. I have a massive master project with lots of subprojects and when you look at the Gannt View there are many summary tasks.     - No work vs. zero work- how to erase? Greetings again! When work has never been assigned to a resource on a particular day that the task usage view shows no value for that day. However, it appears that once work is assigned, it can then be zeroed out, but I can't figure out how to blank it out (meaning restoring it to the original state before work was assigned, where it wasn't zero on a particular day but rather was nothing, blank).     - Task splitting - a process, not a parameter? Greetings! This is to check my understanding from observation of how task splitting works. (1) It would appear that when a task is split, which can only be done graphically, Project moves the work for the assigned resources from the start of split out to the end of the split-off portion of the task as you pull the split over. This achieves the same result as manually zeroing out a resource's work in the middle of a task assignment and moving it to the end. (2) Different than (for example) a delay, there is no parameter to record a split point or duration. As a result, in order to adjust a split, you must grab the task bar and move it, or fiddle with the daily work assignments. Also, there isn't a parameter that can be tested to check for a split.     - Colour Coding! Hi there, I have recently set up a Project in the 2003 version, to track all development jobs passing through the IT department. I have set up a customised field which has a drop down listing, of items such as , 'To Be Quoted, In Progress, On Hold, LIVE, Cancelled......etc'. What i am trying to achieve is that when i select a particular value from the drop down list, i want the relevant Gantt bar to change colour. I have tried to do this from within the 'bar styles', dialog box, but it doesn't seem to be able to cater for criteria such as 'If 'Ref Status', equal to 'LIVE', (then colour should be set to Green)! etc. Any help would be greatly appreciated.     - Actual work incorect in Project Pro when importing from MSP_TIMEPHASED_DATA table App Name: Microsoft Project Server 2003 We have an external process that populates the MSP_TIMEPHASED_DATA table with actual work for project plans on a weekly basis. We use the "EXT_EDITED" flags as suggested by Microsoft. I have confirmed that what we want to push into the TIMEPHASED_DATE table and what makes its way into it are in sync. The following is an example of the behavior we are noticing. I have verified that the timephased_data table contains actuals of: 1000hours for Resource A assigned to Task 1 2000 hours for Resource B assigned to Task 1 0 hours for Resource C assigned to Task 1 (this is indicated by NO rows for this specific Resource and task existing in the table). The task is set to Fixed Duration and has a Start Date of Sept 1 2005 and a Finish date of Dec 31st 2005. When the file is opened I will notice something like this: Resource A has a total of 1200 hours of Actual Work. Resource B has a total of 2100 hours of Actual Work. Resource C has a total of 900 hours of Actual Work. In addition, assume the last date actuals have been entered in is the last week of November of 2005. I will notice that end dates being extended out a couple of months and work being spread across that time. The problem is two fold. Additional actuals have been manufactured and Finish dates have changed when they should not have. If I close the file without saving (so that I don't overwrite the timephased_Data table data) and change the task to fixed work or fixed units by modifying the task_type field in the MSP_Tasks table, I notice the correct actuals when I open the file again. The dates have off course re adjusted but the total actuals and the individual values in the weeks are correct to the decimal point. I have also tried to manually replicate the issue by creating a fixed duration and entering all the data manually (work and actual work) in the timephased buckets. In this case I noticed the correct behavior where the finish date remains constand and the remaining work is re-spread accordingly. Can anyone explain this weird behavior?     - Resource Assignment and Levelling Hi, I've been using MS Project for only a little while, and used to do all levelling manually. Since my current project involves too many resources, I'd like to find better ways. I have a few questions... 1) Can MS Project assign resources from a group of resources? For example, I have 3 PLSQL programmers and 8 Java programmers. The PLSQL tasks can be completed by either one of the PLSQL developers. Is there a way to tell MS Project to select the best resource to optimize the result? 2) Our company uses multiple project plans, all linked to a master plan and a single master resource file.     - Problems with Custom Fields I'm trying to have a custom text field that displays a resource's initials and then the percentage of work assigned to them. We are assigning resources to summary tasks, not individual tasks, but I'd like something similar to the text on the gantt chart that you get with the individual tasks. Anyway, I've taken Text1, and to test it, simply set the formula equal to [Resource Initials]. Then I added Text1 to the Bar Styles for Summary, instead of Resource Initials. Now, nothing is showing up to the right of the summary bar on the gantt chart. Ideally, I'd like to have the field say: [Resource Initials] & "[" & [Actual Work] & "]" But I can't even get just the initials to show up. Any ideas?     - % Availability and Days per month in Tools/Options Situation: I have a 100 days of Business Analyst (BA) resource in January and 120 days in Febuary. January has 20 working days in it and February 19 working days. In order to understand the BA resource's availability for Jan and Feb, I have divided 100 by 20 and 120 by 19 respectively. This gives me Monthly % availibilities of 500% and 632% respectively. I am now creating tasks and BA assigments within January and February in order to see if I exceed the monthly % availibilities...     - Duration driving Finish based on which calendar? Thought I'd cracked Durations but it's got me again! I'm using Fixed Duration with a shorter than Standard resource calendar and I'm not getting expected Finish dates. To demonstrate, if I have a single task, Fixed Duration, 75 days, starting 1 Feb 06. With the default Tools/Options/Calendar settings (8 hrs/day, 40 hrs/week, 20 days/month), the end date is 17 May 06. This is 75 working days (weekdays), entirely as expected. However, the Resource I want to allocate to it has a 32 hour working week (and this is reflected in the Resourceâ??s own calendar). I therefore change Tools/Options/Calendar settings to be consistent with this (6.4 hrs/day, 32 hrs/week, 20 days/month). The Duration changes to 93.75 days and the end date stays at 17 May 06. If I set the Duration back to 75 the end date goes to 26 April 06, which is wrong for the Resourceâ??s shorter working day calendar. The behaviour above results whether or not I have a Resource allocated to the task, and whether or not that Resourceâ??s calendar is based on Standard, or something with less then 40 hours/week. So the issue is with the Tools/Options/Calendar settings, not with the resource or its calendar. I want to be able to enter a duration in terms of my real, shorter than standard 8 hour, working days and for it to calculate the end date as 17 May. If I apply a Task Calendar defined as 32 hours/week, the end date is OK (16 May 75 days duration). The problem is, I donâ??t want to have to apply a Task calendar to every Task in my schedule. It could also be very confusing to other people using the schedule, because Task Calendars are a little bit esoteric. If I apply a Resource which is based on the shorter calendar, it makes no difference (the shorter calendar of the resource does not affect the end date). I know Duration is Work/Resource units, but if there is 0 Work and no resources allocated, on what basis does MSP calculate the end date from a Duration? It looks like the Duration drives the end date using the Standard calendar, regardless of the calendars of any Resources applied to the task. The only thing I can think of is to change the Standard calendar Working Time to 32 hrs/week. I donâ??t really want to do this because I am using a resource pool used by several projects and I donâ??t want the shorter week applied to all projects, just those tasks which have resources with a shorter calendar. Does anyone know any alternative to applying task calendars en masse, which seems the least bad option at the moment? Apologies if the above is confused. I have an example project if anyone needs it. I need help setting up my shops' resources and schedules. I have used excel until now, but now I need something more complex to help me know when I am overscheduling a certain resource or department.     - Precedence question Ok, I don't know if this his possible... I have two tasks: Task1 Task2 Task2's precedence is Task1. Let's say it takes Task1 4 days to complete and Task2 has to begin only when Task1 is complete. So if Task1 takes 6 days, Task2's start date and bar in the Gantt Chart should move to the right. I can't get this to happen. What usually happens is that Task1's bar completion runs over the start of Task2's bar and the arrow snakes around to the start of Task2.     - critical path not calculating I have a project in 2003 that shows no critical path I recreated that project in 2002 and it shows the critical path just fine I thought that perhaps the project was messed up in 2003 so what I did was recreate the project with all the default settings. First I created the task list (50) tasks - the critical path looked okay BUT periodically I would get an activex error and have to quit out and come back into project. But some of the dates looked wrong (i.e. the last task was set at 2 days but had a start date of 3/30/05 and a finish date of 7/28/06 - HUH!!) After getting my tasks set up (with the one strange date problem) I then added main tasks and made my other tasks subtasks so that this was easier to summarize. Like so.... MAIN TASK 1 subtask 1 subtask 2 subtask 3 MAIN TASK 2 subtask 1 subtask 2 etc. As soon as I did this the critical path go all messed up - when I did the same thing in project 2002 there were no issues at all. I installed service pack 2 for 2003 (which has an activex fix in it) and now the dates look right (albeit 2 months different from the original file) but the critical path still won't calculate.     - Master Projects I have created a master project with links to 2 projects. When I look at the resource usage in the master project it shows the 2 projects and the work associated with each project - one line per linked project. If I go into either of the 2 linked projects and add/change/delete a task and then go to the master project I no longer see a summary line for the project that I added/chanegd/deleted the task, but see all tasks from that linked project for that resource.     - Disabling Resource Pool additions Hello, I am using project 2003. I have a master project, with many projects inserted into it all sharing one resource pool. I would like to prevent inadvertant changes to the resource pool, that seem to be caused by typing a name instead of using the drop down box when assigning resources to a task. I have used tools> options > general and turned off the option of adding resources and tasks. However, it still allowed me to resource names. When saving, error messages popped up, but I could say okay and bypass the error message. What have I done wrong? Could it be that the individual project files have to have the setting tools> options > general and turned off the option of adding resources and tasks done first? Any help would be appreciated.     - BCWP <> BCWS w/ Project Status @ 100% A customer of mine has asked me to graph when we can expect our project to catch up with the baseline. I've adjusted some durations and task relationships on how we plan to catch up. I then set the "Status Date" to the end project date and set all tasks to 100%. My thinking is that if we complete all the tasks based on the new schedule, I should see BCWP catch up to BCWS. However, when I do this and export the values to Excel, the time phased BCWP doesn't equal the BCWS. I thought when all the tasks were complete, the BCWP would equal the BCWS? What's going on? Hi Jennie,

Welcome to this Microsoft Project newsgroup :)

We'll need more explanation from you. When you say "program of works" do
you mean separate projects? Which view are you looking at that have red x's
instead of charts. Which version of Project are you using? Have you
applied any Service Packs?
