        • Reporting by WBS Can anyone refer me to a website, or some other documentation on where I can find some information on how to create reports that use the WBS code. I would like to filter out costs on parts of a project plan only based on the WBS. Any help will be much appreciated. Thanks Paul. Tag: how can cost be controlled in project management Tag: 70538

        • do not split task over 2 days Hi, I've got some particular tasks that take about 6hrs. But they must be completed within 1 day. If there is not enough time to complete that 6hr task on any given day, then MS Project should bump the task to the start of the next day. eg. on a day when there is 4hrs of another task at the start of the day, there is not time within that same day to complete the 6hr task. However the way I've got Project set up, it simply schedules 4 hrs of the 6 on that same day, and then the remaining 2 hrs the following day. Any idea how I can prevent this behaviour and tell Project that certain tasks _must_ be completed within the one day? Regards, Carl. Tag: how can cost be controlled in project management Tag: 70531

        • % Complete Overriden I have a project with fixed duration, non-effort driven tasks. We are using the % complete column (not % work complete) to reflect teams' progress on tasks in increments of 25%. The problem is that Project tends to recalculate intermittantly, and override the % complete entries. This happens most directly when the Status Date is updated. One workaround we found was to use the Physical % Complete column instead, since entries were not getting overriden. However, the Physical % Complete does not appear to roll up to summary tasks. We are using Project 2003. Any ideas on why Project is recalcing or how to get Physical % Complete to roll up to summary tasks? Thanks!!! I would like to have my project managers be able to do preliminary approval(first level) then the request for time approval come to me for final approval(second level). I seem to recall this being available, am I dreaming? Thanks! Tag: how can cost be controlled in project management Tag: 70519

        • Unable to reinstall Project Professional Following a hung installation of Office 2003 SP1, Project Professional stopped working. Tried to uninstall Project Professional, but when I tried to reinstall received the message: PROJ_PRO_ON_PRO_ERROR. Project Professional 2003 cannot be installed when another instance of Project Professional 2003 is already present. To install this copy of Project Professional 2003, first remove the previous instance of Project Professional 2003 using Add/Remove Programs from the Control Panel. As I had already run uninstall from the control panel I tried using the "Windows Install Clean-up Utility", but on trying to reinstall the error repeats. I've attempted looking in the registry for the SKU 3B in GUID's and removing these registry entries to no avail. Any advice welcome? Tag: how can cost be controlled in project management Tag: 70512

        • Help for beginners I started learning Microsoft Project for the very first time about 2 weeks ago. I've now read every post on this newsgroup and I'm finding many questions even a beginner like me can answer. However, I would have been posting the same questions had I not read what I did. I'm posting this as a general aid for learning MP, to learn what I have all I did was read Microsoft's "Step by Step" for Project 2003. I found the book wonderful. It's long but they didn't make it droll on. I learned about all that MS Project could do through this book. It gave me a great base to build from (still have a long way to go), and I highly recommend it for any beginner. It's 4-500 pages so I forget a lot of what I read untill I've actually DONE it in project a couple of times, but after only 2 weeks I'm the new PM for my company. So if you find yourself in want of MANY answers, go buy the book and work through it on your free time. It took me about 35-40 hours to go through all the exercises in the book, and it taught me a lot about project, and dabbled in project server. The end of the book lists many other MS Project resources as well... that's actually how I found this web-post. Anyways, I hope this book will help out some beginners out there like me!! Happy learning!! (no reply necessary, however I'd like to hear if it helps anyone!!) -Brian Stebbins Tag: how can cost be controlled in project management Tag: 70483

        • Project Calender and working time Hi, I work with MS Projecr 2003 standard. I have set up a group of subprojects, one file each. They all work with one resourcepool. I have defined an projectcalender for the project. I defined it in projectinformation - projectcalender. The whole july is working days. BUT the program still set all days in july as not working days. The program seems to look at the standard calender in some way. Can anyone give me a tip ? /Lennart Tag: how can cost be controlled in project management Tag: 70478

        • Leave Reports Hi All Is it possible to get a report on leave recorded in Project (am using 2002 std)? I record all leave for a resource pool in Tools, CWT; and have set up a copy of the Std to use as the base calendar. The scheduling is working well, but I can't produce a report or view for team leaders that shows eg that Res 1 is on leave from 6th Sept to 10th Sept. Something they can stick on their wall, and look at. The Calendar View shows tasks, and Resource Calendar non- working days, but nothing at the resource level. • finding an unlinked object I trying to learn Project, I tried to attached an arrow to a task bar. Unkonwingly I did not enter an ID before saving. The arrow disappeared. Until I printed out the schedule. I now see it in Print Preview and I'm trying to find it to delete it. But it's not in my normal view. I'm assuming it's because the ID is actually 0. How can I find this arrow to delete it? I'm using the rollup formating marcro. Tag: how can cost be controlled in project management Tag: 70467

        • Exporting MS Project 2002 Statistics How do you export Project 2002 statistics to a file (ASCII, Word, Excel, etc.)? More information: When you select Project from the Menu Bar, select Project Information, click the Statistics button, Project 2002 displays current project statistics. How can this information be routinely routed to a file for display in a weekly status report? (I am already aware of the canned report that shows this information.) Thank you. • Can't get Custom Fields to work. Hi all, I was experimenting with MSP 2003 (specifically with Custom Task Fields). I customized Text1 field for Task and renamed it so "Sample" with Value list as "T1", "T2", and "T3". Added a single task and saved the project in MDB format. Then Externally, I edited the MDB file and added a record in MSP_TEXT_FIELDS as follows: PROJ_ID TEXT_CATEGORY TEXT_REF_UID TEXT_FIELD_ID TEXT_VALUE 1 0 1 188743731 T1 I also changed the ATTRIB_EXT_EDITED field for all the records in MSP_FIELD_ATTRIBUTES to -1 as follows: RESERVED_DATA PROJ_ID ATTRIB_FIELD_ID ATTRIB_ID ATTRIB_VALUE AS_ID ATTRIB_EXT_EDITED 1 188743731 206 -1 1 -1 1 188743731 210 -1 2 -1 1 188743731 217 1 -1 -1 1 188743731 218 -1 3 -1 1 188743731 219 -1 4 -1 1 188743731 222 0 -1 -1 1 188743731 223 2 -1 -1 Now when I open this MDB in MSP2003, the value T1 for my Task does not reflect my change. Can you please help me identifying the problem. Is there something that I am missing. Awaiting your help. Tag: how can cost be controlled in project management Tag: 70458

        • How do I create a project without actual dates? (where every mont. I want to develop a proposed project plan and I don't know the actual starting date. So the dates must be Month 1, 2... or Week1, 2.... Also, I would prefer to define the duration of tasks in months. Therefore when a task start at the middle of Month 1 and has a duration of 12 months, it has to finish in the middle of Month 13. To do this I have to define that month=30 days but also that every month has 30 days. Any idea is welcome. Tag: how can cost be controlled in project management Tag: 70440

        • Crosstabulate resources and tasks Can anyone tell me how to see a summed hours crosstabulation of resources on every MAJOR task? This may seem simple but if the resources are not allocated directly on the tasks but rather on the subtasks the program does not seem to know how to sum them up. Or maybe I don't know how to do it... It seems that the entire phylosophy behind the program is that one should see either the tasks OR the resources. Even the custom fields with the same names are different when reffering to tasks or resources. Thanks in advance :)) Tag: how can cost be controlled in project management Tag: 70433

        • Critical path in MSP Hi everyone. I'm relatively new to using MSP in anger and I have a major issue with the way it shows the critical path. If all the tasks on the CP are dependencies of each other then it's all fine and dandy with nice red tasks to highlight the CP. If however you assign no dependencies but have all tasks assigned to the same resource, then it does not show these as the CP. Now my understanding of the definition of the CP is any tasks that, if delayed, will cause a delay in the earliest completion time of the project. By definition if all tasks are assigned to a single resource then a delay in any task will therefore cause a delay in the project and so is critical! Anyone got any thoughts on this as it's quite significant if I can't easily identify the CP in a large schedule (currently around 700 lines and growing.) Dave. I do not have a necessary and consistent control of how the Project distributes the Overtime to the long one of the duration of the Task, even considering Type of Task and Normal Working hours. (It would like to have control on as the insertion of Overtime influences in the duration of the task) The documentation I fonund is very vacant, and not meeting literature or articles on the subject. • Lotus Agenda Rewrite? Hi all, In my "spare time" I'm thinking of throwing together a .Net version of the old Lotus Agenda, one of my all-time favorite software programs. It wouldn't be exactly the same, naturally . . . Below are my preliminary functional specs -- your thoughts? Any programmers out there itching to write the RecognizeWhenDate object <g>? Jeff ------------------------------------------------------------------- The software stores Items (a collection of words), Notes (a collection of words associated with an Item), Categories (Index elements, each a single word), Attributes (Entered Date, When Date, Completed Date, Home Phone, Cell Phone, Work Phone, Address, eMail1, eMail2, or user-defined), Hierarchies (of Categories), and Views (a screen layout containing a treeview of the Categories with a column for Item, and optional columns for Categories and Attributes). The software needs to understand dates entered in a wide variety of fashions (e.g. every first Saturday in November). When you enter an Item it becomes associated with the Category under which you entered it along with any Categories matching the words that it contains. In a view, display in the rows beneath a Category column either a check-mark or a name of a child (or children) of the Category in the heading's Hierarchy. If the column heading is an Attribute display the actual value of that Attribute for each item. You should be able to sort and filter views. Categories auto-complete as you type them (sound effects optional). Tag: how can cost be controlled in project management Tag: 70408

        • "Pretty" Project Plans ... Folks, I'm fishing for ideas to use for learning and examples. Anyone know of some articles, books, web sites, or tools which discuss and give examples of great and world-class project communication methods and graphics? A senior executive dropped by my office this week, seeking my help for her project team. "Rob, do you have any ideas on how we can better communicate project plans?" I said, "Well, my first guess would be that they use Project to create a view of the plan in a way which communicates the intended message.". I explained how I prefer to always communicate in context and avoid complexity. "No!", she asserted. "Project is c..p! Look at this!". With great disdain she thrust into my hands a B&W paper copy of the latest PowerPoint-based presentation "papers" about her project used at the recent "stakeholders" meeting. "We want pretty project plans. Our executives and stakeholders won't understand it otherwise." On the single page where schedule/plan was addressed, the PM for the project had included a screen shot (using the camera icon of the current Microsoft Project plan). : It looked to be a 125-150 task schedule in which they showed a subset of 29. These tasks were a mixture of summary tasks with some non-summary tasks. Not clear why they chose that set of tasks (no explanatory words on page) : The columns ID, Task Name, % Complete, Start, Finish, and a Gantt Chart covering 3 calendar years by Quarter (even though it is a 1.5 year schedule ... so the right 1/3rd of diagram was empty). : The % Complete field only filled in 7 of the rows ... not sure how or why they blanked out other rows (guess to hide the cells which showed 0% complete). The executive said "We don't understand how % compute is determined. These numbers can't be right. They shouldn't show them." : The author used deadline field arrows/field (good) on some teaks, but did not include a legend (bad) which then the executive complained about as "what is this??? This is confusing!" : There were a few predecessor links shown between the summary tasks (I have discomfort with that). : The summary bars had the beginning/ending triangle blocks. The Gantt bars had no indication of progress inside the bars (which was expected by my executive friend). : The executive took offense that the author of the PPT page chose to include the Project ID field on the screen shot. "That shows nothing". It was a "step out" for this PM to try showing the Project Plan in a MS Project Gantt Chart, but they fumbled the job and the risk is that they won't try again and will be forced to abandon their use of Project as a project tool and instead move to managing the project with PowerPoint. In general, this organization uses Project only as a means to send "data" (not all of it meaningful, IMHO) about projects to the Project Office, who in turn then assembles reports (automated tools) for senior executives who then report-on project status on behalf of and instead of the PMs. The hoops they jump through to "fix" the schedule (with must start or must end constraints on every single task to stop the schedule from "jumping around" when reported to PMO makes the Project .mpp files unusable for anything else. Typically, they don't use Project as tool for project modeling, tracking, resource planning, cost estimating, progress tracking, communication, etc. I'm working on this 'problem' in my part time. It seems to be normal for executives in this organization to only be given (and I guess expect to see) 'pretty' PowerPoint pictures of a "thing" which looks sort like a Gantt Chart which shows open squares for scores of "milestones" plotted on graph ... they fill them in to show completed milestones. Lots of colorful bars on each row which look like Project Tasks, but really aren't ... they are more like phases or areas of works. These milestones are grouped inside these bars. I find these things way to complex, but to an art director I guess they have some elements of "prettiness" due to all the colors in use. The organization wants "pretty". They focus only on communication of milestone tracking. The senior managers and executives profess to not understand project plans otherwise. I guess I have an opportunity here to set the standard for how to use Project "properly" to communicate project status and plans "properly". I'd like to do it in a way which works and is seen to be "world-class", conveys quality information content and is "accepted". I have some ideas and ways I've done it (I think successfully) in the past, but am seeking some external influence here. I've done some reading in Kerzner's book, and searched PMI's library for some references. Also enjoy Edward Tufte's dabbling in this area (but too theoretical). While they need is for "pretty", having terrific content will be the swaying factor. I contend we can be "attractive" with content and still hit the mark. The risk here is that need to do it right as there won't be many shots at having an influence on this. Thoughts? Tag: how can cost be controlled in project management Tag: 70403

        • Accessing Project over internet? hi we are a small company with projects in foreign countries. we use MS Project Pro for project management and understand this can be accessed via web for international access and sharing. we cannot work out how to do this though. It would be great if we could have project server on our web server (hosted by ISP) which is a windows web server and then access it using Project pro from any location? Is this possible? do I have to ask ISP to install Project Server on our web server? Can I do this remotely? or am I dreaming in fantasy land? Any guidance greatly appreciated and welcome. • Week1, Week2...(from end) I am scheduling a project using backwards timing in weeks. When I use this option, my regressive countdown on weeks starts from Week2, not week1. I already change options to schedule from project start, from project finish, changed order of taksa and still can not do it. Can someone tell me how I can change this so the count starts from Week1? -- Thank you Tag: how can cost be controlled in project management Tag: 70389

        • How do I make every new Outlook folder the same format? Every time I create a new folder in Outlook, it defaults to a format with a lot of unnecessary fields. Then I have to go in and modify the display. How do I change that default so that every new folder I create looks the same as the last? • Title Bars I have one file with over 3000 activities and Many levels of indents that I inherited. Most of the owners don't want to see 7 title bars before their work. Is there anyway to hide these line items not just the bars or symbols? I do use filters but that is not enough in any case. Tag: how can cost be controlled in project management Tag: 70368

        • Renaming Baseline Fields Hi All, I need to change the names for all baseline fields to projected fields, for example: Baseline Finish becomes Projected Finish Baseline Duration -> Projected Duration Baseline Cost -> Projected Cost Etc. I tried creating a Custom Date (Date1) with the formula [Baseline Finish], but this populates the field with NA instead of a date. The only way I've been able to get this to work is by saving an Interim plan and renaming the Finish and Start fields, but this is not ideal because: 1) The reference manually I'm using says to not use Interim plans anymore. 2) It doesn't address baseline cost, etc. How should I do this? Thanks for any help, Ryan Tag: how can cost be controlled in project management Tag: 70363

        • Weekends Help! Project Standard 2003, No project server... I have a multi-project schedule, with one resource pool... I am trying to schedule weekends for 3 particular resources inside of one project. I am going to Tools | Change Working Time, and choosing the proper resource(s) from the 'For' pulldown. I am then setting the weekend days to working days by selecting them, choosing 'non-default working time' entering the weekend working hours accordingly. The problem is, when i save, close, and reopen the schedule, the weekends I set to be working times reset back to non working times. What am I doing wrong? • Custom Calendar for Tasks Hi All, I have a task that can only be done on the 1st or 3rd Tuesday of every month and I need to set up a custom calendar or something to limit it to this. Here's a generic version of my tasks. Task 1 - planning. Task 2 - commission meeting (this is the task that only happens on the 1st or 3rd tuesday) Task 3 - construction. So if planning (Task 1) goes past the 1st tuesday of the month, then task 2 needs to be pushed back to the 3rd tuesday of the month. Is there any way to do this? Thanks, Ryan Tag: how can cost be controlled in project management Tag: 70349
