    - Calculations not making sense I am running into the usual problem I have with Project in that it works fine until I start trying to work with resources and it immediately starts doing stuff I can't explain. Problem: I have a Fixed Duration Task with 1 resource at 100% on this task. The task has a 4 hour duration, which also is the amount of work. There is a total of 7 of this resource. All my tasks are fixed duration with the assumption being made that the contractor will add additional resources if needed. I am also trying to work with the assumption that a resource will work on a task until completed. So if I assign the resource at 100% on this task the resource should be assigned at 4 hours, right? 4 hour work * 1 unit = 4h duration. Why then does my duration change to 13.7? If I change my duration back to 4 hours, Project reduces my resource time to 0 hours. I have never been able to overcome this problem with Project. It's one of the reasons many people prefer Primavera or other tools. Primavera is pricey, but I can at least explain what it's doing when it levels resources and does the calculations.     - remaining work, estimates to completion. Hi all, I would like to report the remaining work of our resources. Like the report for resource usage, I also want to know what work is still ahead of us (or work not finished in the past). I didn't find a predefined report for that. Is there a way to make a report for that like the resource usage? I am not the expert to programm a report. I have tried if it is possible by creating new filters but it did not work.     - Problem with resource usage durations I am very stuck when inserting durations of tasks for resources on MS Project 2003. First of all all resources calender are the same with 7.30 hours of work time per day. However on the resource usage in the 'timephased' part of 'work' it states 7.5hrs. I don't understand why this is? Secondly, when I assign a resource to a task say 3 days, in theory it should be mon, tues and weds. However it goes onto Thursday aswell with 2.9hrs. I don't understand why project is doing that. Really frustrating because I don't want that to happen. Any thoughts to why this is and how to resolve it?     - Subprojects indenting Project 2003 pro I created a master project and then inserted projects into it as subprojects. Each additional inserted project indents in the Task Name column progressively further to the right, causing widening of the Task Name column. Outdent does not work.     - I'm using WBS predecessors but project won't let me type them. Earlier in the life of this MS 2000 Project Plan I could type wbs predecessors in the wbs predecessor field but now nothing can be entered in the field either through typing or cut and paste.     - Conditional Predecessors Hey! Hoping for some guidance. In Project, I have three WBS deliverables, all of which are being worked on by the same resource at the same time. When any one of these is finished, I want the resource to begin working on WBS deliverable #4. So, the predecessor of 4 is 1, 2 and 3, but the start date of #4 should vary, depending on which is finished first: 1, 2 or 3. In Excel, it'd be easy.     - Is there a size limit for a .gif file in Project? In Project 2003, I am trying to copy a picture of my project, which is 1004 kb, into a .gif file, but am not having any success. After selecting the rows and entering the date range, a window will pop up that tells me the picture I have selected "is too large to save into GIF" and I am given several options to choose from, two of which are grayed out. For the options, the default selected is "scale the picture to 100 in. in height" and "lock aspect ratio." I did not reduce the date range because I have been successful in copying this identical project in the past, with the same date range, which was 2402 kb, over twice the size of the file which I am trying to copy now. As a test, I tried to copy this 2402 kb file again and but have been unsuccessful with it as well. This is the first time I have encountered this problem.     - Dumbing down MS Project Our office uses MS Project solely for the preparation of presentation GANTT Charts. That is, once the chart is created, printed out and presented in one form another it is never refered to in its electronic form again. When our PM's are putting together a schedule they come up with a list of tasks, they identify the days they want each task to start and end on, and that's it. If they feel a particular task should have a duration, they will refer to a calendar or daytimer to figure out for themselves when the end date should be. Is it possible to modify the default settings for MS Project (2002) so that as I add or modify tasks that I only need enter the start and end dates. Right now, if I have any task linking going on, I run into situations where I can't get the end date I desire without playing with a duration value. Gets really annoying. Comments? Suggestions?     - Export Project Plan from PWA to image or excel I am using Project Server 2003, Project Professional 2003 and Project Web Access. I have a project plan with many different graphical indicators on the Gantt chart view. I also have custom views with similar graphical indicators. Let's say I'm viewing a plan from Project Web Access and I have selected a particular view (which contains graphical indicators). When I export to excel, it exports the graphical indicators as numeric values rather than pictures. My question is - Can I export a selected view, from PWA, to either Excel or as an image file, which will retain the graphics?     - Sorting Resource Names in Task Views I assume this is just a bug, but is there a way to sort the resource names in the pull-down menus when you are assigning a resource to a task? I know how to sort in the Resource Sheet view and that the Assign Resources dialog-box sorts correctly, but I often like to make my assignments via a split window (showing the Gantt Chart and Task Form, for example) and making my assignments there; in this instance, the resources in the pull-down menu are sorted by ID, rather than by name.     - Typing Total Cost manually Hi, In Total Cost column in MS Project 2003, I type the cost of the project/task manually. I then assign a resource to that task/project and the cost changes to something higher or lower at times. I then have to retype the cost again. Is there a way to stop it from changing?     - Master Projects not displaying tasks on PWA Hello I have a master project with lots of sub-projects inserted in. In the subprojects, if you expand it, lots of little tasks are displayed. However on the PWA, the master project is shown with all my sub projects in, but when I try expanding by clicking on the plus sign of each subproject, all the little tasks are not displayed.     - Report with Indented Subtasks Apologies if this has been asked before, but I'm new to Project and having some trouble generating a report I'd like to use. 1) I'd like to be able to generate a report that shows my subtasks indented. Right now all tasks (sub or summary) are aligned flush left. 2) I'd like to keep the subtasks locked to the parent summary task when I choose to sort my reports. I have a consolidated project that has approximately 60 schedules from the project server embedded in one large schedule.     - Resource Scheduling I am having a problem with the way Project is scheduling my resources. Is there a way to force Project to schedule task resources for the same time period? My example is this: I have a fixed duration task where a crew is using a forklift to perform a job. I have 6 forklifts available round the clock (600% on the resource sheet on a 24 hour shift) and a day and a night crew (100% on a 12 hour shift: 6A-6P or 6P-6A). On my task, I have two resources: day crew and fork lift, both at 100% for 4 hours or a total of 8 hours of work. 8 hours work / 2 units = 4 hours duration However, the @#%$@%@$# application insists on scheduling my two resources at two different shifts which is not terribly useful.     - WBS uniqueness checking MSP 2000 I am having problems with a project I have which contains a number of links to external projects. Whne I Cut a task, I get the "The WBS code you have entered is not unique" error. There are no duplicate WBS numbers in the project. The same error occurs if the external projects are also open. Deleting the task works OK. I have both the "generate for new tasks" and "uniqueness" boxes ticked in (Project/WBS/Define code). I switched off this "uniqueness" checking and the cut works OK. Alternatively, if I remove all external links the cut works OK. Couple of questions spring to mind: * Does anyone know what triggers MSP to perform the "check for unique WBS" routine? I could understand inserting a new task but I am surprised Cutting a task triggers it. * Anyone have any idea why a link to an external task might confuse the WBS uniqueness checking facility?     - Roll Back Completed Tasks to show complete before project starts - I am importing a project. When it imports tasks and all parts of the project, it shows completed tasks starting on the project date - which mucks up everything. How do I make all completed tasks and partial completed tasks show on the Gantt chart-start-end dates as complete before the start date of the project? For example a 5 day task is complete, then another task is linked to it which is 5 days - Project is showing the uncompleted 5 day task can not start for 10 days because the completed task that is 100% complete can not start until the start date of the project.     - Project 2003 and Multi-Projects - inverts the files! I have just been upgrade to 2003. I have been doing the same task for 3 months which is loading 17 projects into a multi-project. In 2000 the files were loaded in alphabetical order (from the directory they were in) with no difficulty. In 2003, it loads them in reverse order which is unsuitable for the reports and views I need to create. When I use the SORT option on TASK before expanding the projects, the contents of each file is inverted! All I want is my projects Inserted in alphabetical order.     - MSP can I link 2 tasks but have a total time set for both My team are developing a software project, and going through a prototyping phase, then Pre Alpha, Alpha and so on. A number of the core code systems are going to be developed in the prototype phase then later enhanced in the later phases. Essentially then they are splitting the same task through different milestones and delivering as much as they need to achieve the milestone targets. But I have to allocate a total amount of time for the task as a whole, yet assign a fraction of time to it in each stage. The best way for that as far as I can see, is to split it into multiple seperate tasks under the milestone headings as appropriate. ie prototype develop task, alpha enhance task,,beta enhance task and so on. The total amount of time for the split tasks is the same however, so is there a way to link the tasks so that if I let them spend longer on it at the prototype stage I can automatically reduce the time spent at the later stages, or if less at prototype they have to spend longer at later stages I can do this by hand, but there are rather a lot of these tasks and I'm hoping I can speed it up somehow.     - Time Phased Actual Costs Question In my project, I have a resource (material) assigned to a task. I enter actual costs (time phased) for this resource under the task when invoices arrive. When I enter the time-phased costs for the resource, the actual costs (total) for the resource and the task update properly. I also have a baseline saved for the task. The problem exists with a calculated field that I created. It shows the remaining balance for the given task by subtracting the actual cost (task) from the baseline for the task. This field will update correctly when updating the time-phased resource costs up through a seemingly arbitrary date. After that date, the actual costs for the resource and the task update correctly, but the calculated field fails to change. Any ideas what is going on?     - Formulas I am a beginner on project and am trying to put together my first "Project" project. I am trying to create a schedule that takes the number of man hours on a task, divides it by the number of avg men per day to calculate the duration on the job in days. (then hopefully the gantt chart would react accordingly as well) My business is landscaping and the man hours on our jobs can be anywhere from 2000 to 60000. We typically will put a crew of 12 on a jobsite which would "burn" 96 hours per day. Sometimes we may decide to put 20 men to get a job done sooner so therefore the duration would have to change accordingly.     - Overtime for resources Hi, Have been thinking about the use of Project to also give a cost estimate/quote. Each resource can have both a standard cost rate and an overtime cost rate applied to it. What I have not been able to find is where to define the standard time period for a resource and hence when does the overtime rate 'kick in'. The project could be using typically a 12 hour day or 24 hour shifts, and applying the appropriate calendar to the reosurce allows the activities to be scheduled to the calendar, but that does not tell Project when the overtime rate would apply. So a twelve hour work day would consist of 8 hours of standard time, say 2 hours of time and half, and two hours of double time. But there seems to be no way of identifying this in Project. I also feel that project is not necessarily a good tool to do cost estimates, but the functionality seems to be ther in part at least. What am I missing please?     - cost baseline issue I'm supporting a user running Project 2003. The issue is when saving a sub-task to the baseline with a cost of $0, the summary taskâ??s baseline cost will also become $0 even though other sub-tasks have a baseline cost associated. The user has tried this on multiple computers always getting the same result (running the same version of Project). The user has also emailed the file to someone outside our network for advice on the issue and it works properly on their computer (running an older version of Project). i've currently request the user follow the instructions concerning "File Bloat? I scheduled several projects, assigned resources and have a standard 8 hour
day set up with 1/2 hour for lunch. 7a - 3:30p. When I switched the view to
task usage, it showed all my resources listed as working 7 hours a day. I
want this to reflect 8 hours in a work day. Which setting do I cahange to
make this default? This is more for a billing thing, so I need to know man
hours we are charging for.

Hi Omega30,

Welcome to this Microsoft Project newsgroup :-)

Please bear in mind Project is not an accounting program but a scheduling
program. It is thus unlikely to be of sufficient accuracy to satisfy
accountants! That said, you might like to see FAQ Item: 5. Default Working
Hours
