    - Need to report by Resource/time period/Finance category Hi, I have a report I am trying to create for the finance team. The finance team has a special outline category for each task. I need to break down the report by this category first so all of the tasks under Finance category 1 are grouped together etc. Finance categories need to be further broken down by the resource. So every resource is listed if they have worked on a specific finance category. Finally each resource needs to be broken down by time intervals which I need to be able to specify.     - Rolling-up a Gantt Chart with Customized Bars I've customized bars for multiple sub-tasks and would like to see these customizations when I roll them up to the summary bar. Currently when I roll up the sub-tasks, I lose the customizations. Is it possible to roll up and show the customizations? For example, I have a task that I've customized with a Flag field to color code a specific task (to show the task bar as teal).     - MSP 2002 - File sizes I have a consolidated plan with two subprojects inserted into a master project, all attached to a resource pool. What is concerning me, is I have a total file size of 40mb. My plan is approx 3500 - 4000 lines, and I have approx 60 resources in my pool. The resource pool alone is a 15mb file. I have tried saving these as mdb files, compacting them and then importing back into an .mpp file, but it made very little difference. I think the file size is too big for the information I have, and I am concerned that it may "spit the dummy" at some point soon.     - Save As functionality I have several project files that I save on a network server. I have the "always save back up" option selected on all the files. However, I update my files frequently and my assumption was that each time I save changes it would be backed up. This is not the case.     - Custom Field Follow-up I've got a slightly different twist on Neil's question about reporting by Resource Group. In my case, I want to report by Resource Group by Task rather than for the project as a whole. I'm looking at the Task Usage View and have customized the task field Number1 with the following formula: IIf([Resource Group]="PNA",[Work]/60,0) It seems to only apply the formula if ALL resources on a particular task belong to the Resource Group PNA. If only a subset of the resources belong to the Resource Group PNA, the formula returns 0. The sub projects use the same recourse pool. This is easy if it is done manually but who can it be done when you want to use a macro?     - Custom Field problem Today I was asked a simple question -- "How man person-days of time has the QA group put into Projects X,Y, and Z" Cool question. Its good to have them so comfortable with the schedules that they are starting to ask questions like that. I'm running Project2003 stand alone, master file, resource pool, 20 odd linked project files (plus a few small projects just in the master). My boss assumed it was as easy as looking at the summary tasks for the "work" column since I had filtered the view to Resource Group (QA), but that's not the way the rollups work. There's probably a way to answer that questiuon in reports but I haven't done at lot of work on that. I've been trying to learn about custom fields so I thought I would try and answer it that way. Insert a currently blank duration column Do the "customize fields" thing on that column. Set it for a formula Set the task/group summary to "sum" Set the display to "data" Nice and easy. It should now come down to the formula. I tried IIf(InStr([Resource Group],"QA",1)>0,[Work],0) (have to use InStr rather than StrComp as I need to ask for "resouce group contains" rather than "resource group equals"). The column in question is still filled with 0d durations including cells which should be filled with data. I've got the feeling its something obvious that I'm missing. Any suggestions?     - Overallocation in resource with no tasks! Hi. I've been trying to update a plan where one of my resources is leaving the company. I've changed their resource availability so that it ends on their leaving date. After this I recalculated the plan so that I could find all tasks assigned to them after their leaving date and then move the tasks to a new resource. Having done all this, I am still getting an overallocation error for the resource but can not find any remaining tasks after their leaving date. I've checked it over and over with different leaving dates and found that Project seems to think their is a task assigned at some time in early June next year, this however does not show up in any of the views. I am now thinking that the database has some dud information in it that is causing the problem. My question therefore is: Is there a way of cleaning up the project file to remove any bad information, or is there another possibility for this problem? Dave.     - MS Project 2002 - Hammock Tasks Hello, I am familiar with the MS advice on Hammock Tasks (141733 et al.) and have used them on a number of occasions to great effect in Project'98 and '2000.     - Calculating end of project profit margin Using Custom fields I have set up my project to calculate the estimated and actual profit margin. The Task Cost field uses the billing rate and the Custom Field that calculates the Estimated Internal Cost uses the formula: [Work]*avaerage rate for resource (salary + average overheads). Subtract one from the other in another Custom Field and you have the margin. Actual Internal Cost uses the formula [Actual Work]*average rate. Subtract that from Cost and you have the Actual Margin. This is fine but I really want to see what the Profit Margin will be at the end of the project. Using Actual Work lets me see the margin decreasing or incresasing on a daily basis but I can't see where it is likely to end up, based on the current trend. To make it easy to see I'd also like to be able to graph this somehow. Any ideas how to do this? After this is achieved the next step is to role it out across the enterprise so we can see the overall picture across multiple projects....but one thing at a time.     - Catching new filename after save as Usually the save as will fall into BeforeSave and ProjectAfterSave event after the file is saved. From there, I can retrieve the new file name. However, when I create a new project and close the project, the MSProject will ask to save or not, next I click yes and give a new name. Only BeforeSave will rise up. The problem with BeforeSave is only contains the old name. Is there anyway to get the new name from external program in this scenario?     - Change a resource's max availability and see its effect I want to change a resource's max availability to see what change in the project will occur. Unfortunately, Project retains the original max units in each task and does not change them even though they were changed in the Resource.     - Task Name Format When I create a new project the name in the task cell does NOT have WBS information with it. Some projects have task names that reflect the WBS number like "3.1 Do" This instead of just plain "Do This". I am not referring to an additional WBS column, but in the task name column itself.     - Custom Gnatt Chart I received request from a customer for a custom Gantt chart. He would like to see the bar for summary tasks overlaid with the bars for the sub tasks.     - Printing Range - Gannt Chart I'm trying to print a project created by a colleague... When I go to print preview, the columns show up fine, but on the chart side of the page, the dates start almost 12 months before they should and I only get a tiny bit of the blue bars showing up. I've had a look in the calendar and as far as I can tell there are no items any further back than the specified start date... Any ideas on why this is happening and how I can fix it.     - Resource Management Hi We are using Project 2000 with a Windows 2000 desktop. I have been tasked with looking at a way to improve resource mgmt for our IT area. Project 2000 is already widely used by the staff to manage their projects. However, there is no central resource pool for people to access - they have just been creating new resources within the project file each time a project is created. I have created a resource pool project file for the area(approx 20 people) which will be used in the future by the staff for planning their projects. There will probably be a maximum of 20-25 projects at a time 'attached' to this resource pool. After that long buildup my question is what is everyone's opinion regarding a way to show staff absense from work (ie unavailable)? I know that I can go into the actual resource pool and mark dates as being "nonworking time" for staff holidays/training/sick etc but is there a way to create an actual project file that shows this info? From a resource mgmt point of view we would like a way to not only see if a resource is just unavailable but also why it is unavailable - holidays/sick etc. I would welcome any advice.     - Custom fields in the .mpt My predecessor, within the global .mpt, updated a text field so that it had a value list and the field is limited to that list. We no longer need this setting, but no matter what I do, I can't get rid of it. I go into the organizer and try to delete it. I go into the 'Customize Field' dialog box and change the radio button to none. Nothing seems to work. Everytime a try to create a new project file, that field comes with it.     - How do I join the Tasks and Resources tables in MS Project/Access I have exported a MS Project file to MS Access for reporting purposes and am attempting to join the MSP_RESOURCES table to the MSP_TASKS table. My initial analysis shows that there is no direct link between the two tables. I have discovered a RES_CAL_UID and TASK_CAL_UID column that could be a potential join; however, only the RES_CAL_UID has values, the TASK_CAL_UID is -1 for all entries. The farthest I got to unraveling this was printing the cash flow to a PDF file, and then copy/Paste the results to excel.     - MS Project While trying to create a Master Project, I keep encountering a strange problem. I insert a project and it automatically has a finsih date for 1/24/06 (which is the finish date of the master project assigned automatically by MSProject) I have to expand the subtask in order for the correct date to show up for that particular project, and this happens for every new project I enter on my Master project. Then once I have done that there are other times that the dates change back to the 1/24/06 date on every project and I have to go back and expand each one for the correct dates to show up again.     - Information needed on how Project spreads work for a resource Hi, I'm trying to understand how MSP handles the work (remaining and actual) on tasks, as I'm confused by how my plan is spreading the effort. We use flat loading by default and don't directly change anything in the task usage view.
