    - How to change Resource allocation % for all tasks I'm using MS Project 2002.     - Restricting Cost Information when sharing Project Schedules I have created a master schedule with several subordinate linked schedules. I would like to share the same schedules with both the Finance Department and Engineering, without revealing the cost tables to Engineering. Is there any way to allow someone to modify a schedule, but not allow them to see the cost tables? I've tried copying the all the schedules to a different directory and modifying the resource pool each time by setting the costs to 0. It works for now, but it is time consuming and it would be easy to make a mistake. I hope there is a better way. BTW: I am using MSProject 2002 and I do not have Project Server.     - RE: successor task on next day Yesterday a post appeared in this newsgroup asking how to make all successor tasks start at the beginning of the next day. I replied that a macro could be developed to do that and the poster wrote me direct asking for more information. For the benefit of others in this newsgroup, here is my response. David, I did a quick check of my various utility macros and did not find exactly what you want. Rather than spend more time searching, I decided it would be quicker to simply write the macro (see code below). In order to test it I also created a simple Project file that has various tasks ending mid-day. The macro as written takes the simple approach of shifting any non-summary task that doesn't start at 8:00 am to 8:00 am on the next working day. In so doing, all shifted tasks will have a constraint of start-no-earlier-than applied. If you do not want a constraint I will leave it as an exercise for you to modify the code as necessary. Here are the pseudo code steps for the modification. Note: this macro assumes a normal 8:00 hour work day starting at 8:00 am which is the default in Project. 1. Since a given task may have multiple predecessors, look at the Finish time of each task. 2. If the Finish time is not 5:00 pm, initiate a loop 3. In the loop first find the number of minutes, (Project calculates all time in minutes and most time calculations return the value in minutes), from the Finish time to 5:00 pm of the same day. Use the DateDifference method for this 4. Then cycle through each successor to the task and apply the difference in minutes from step 3 as a lag to each successor. Use the TaskDependencies collection to assist with this process. I would use the "count" property of TaskDependencies as the index for the loop. That should do it. Have fun.     - No pressure or anything! (HA!) (Long) My boss has charged me with the task of: being able to: 1)get back to a reliable schedule if we get off-track (meaning when Project "messes up" our original timeline - which he wants FROZEN in time no matter what resources we throw at it) 2)PREDICT with 100% accuracy what will happen in Project with every button click. 3) EXPLAIN why Project behaves the way it does. 4) explain HOW does it calculate??? I am afraid that in the end I will have to tell him I can't completely do this and my rear will be in a sling (and then my kids won't eat, the mortgage will fall behind, etc, etc). My hypothesis to #1 was that by going to Tool-Options-Calculation-Manual-and Click the Calculate button this would un-do any shifts in our timeline (in Gantt view). however on testing this hypothesis for consistency, I think this is not correct.(???) My answer to #2, #3, and #4, I think, will be this: I can predict in general what it will do, but that's it. I "get it" that it calculates on w = d*u (why beat a dead horse? LOL!). But how can I predict every time what it will do? I mean it all depends on how a task is set up (task type), effot-driven vs. non-effort driven, what are it's pred/successors, what are its resources, are those resources assigned to its pred/successors. I mean mathematically, I can't explain WHY (For Example...)it moved Resource Person #1 from working 8 hours on a task today the 27th all the way over to working on that task for .2 hours on Wednesday Oct 30. and so on.... Am I right? Is there a way to predict with mathematical certainty what it will do based not only on inputs of w or d or u, but also of the rest of the schedule that we all KNOW are also a part of this calculation. I mean w=d*u is a completely watered-down explanation of HOW project schedules, correct? Am I correct to when I say that I think my boss may be asking for the impossible? I really need your input, everyone. I am desperate. My boss wants bottom-line answers and I think because of the very nature of MS project, that I can't give him bottom-line answers.     - Inserting a fixed date task into an adjusting time line I'm using Project 2000 to track the current project I'm working on. I've defined my list of tasks and have chained them together so that I'm not assigned to work on more than one task at a time. I understand that if I adjust the hours for a particular task, the project end date either pulls in closer or extends out farther depending on adjustment in hours to the task. However, I also have one task that has a specific start and end date. How do I get the rest of the schedule to flow around my fixed task and still make project understand that during any given scheduled time, I'm only working on a single task. To be clear, let's assume that I was able to complete my first three tasks prior to the task with the fixed time frame. If, for some reason, I needed to extend the first task by a day, all other chained tasks would move out by a day. What I would like to see happen is that Project automatically recalculates the schedule to let me know that I should work on task three until I reach the fixed task date, I should move to the fixed date task, and then I should go back to task three to complete the remaining 8 hours work.     - Uninstall Project 2002 I had MS Project Professional 2002 installed on my computer. My harddisk crashed and I restored it from backup. The Prj 2002 did not restore properly:( My company converted to Prj 2003 and thus no longer supports 2002:( So I installed Prj 2003.     - Multiple formatting preference sets ? I have to re-format the same "views" to satisfy different audiences. This includes the way task bars look (what color to use for regular, critical, milestone tasks, whether the bar itself is block or gray scale, whether the 'format layout' shows successor arrows or not, task name fonts and colors, which columns are visible in the Gantt view, etc etc). This does not change the underlying task information itself, only the way it's displayed. Is there a way to name and save these formatting preferences so that I can switch to any of them and restore the way it looks ?     - can anyone explain how to enter subtasks in Project I'm entirely new to Project 2003 (in fact, I'm using the trial version), but I'm rather dumbfounded by the (to me) 100% counterintuitive user interface when it comes to adding new tasks and subtasks. What I expected (what seemed simply the obvious and proper way to do it): select a task, then when one adds a new task (via INS, or perhaps Enter, or an on-screen command button, or a keyboard shortcut), it would either be a subsequent task at this same level, or a substask of the task currently selected. Whichever it was, you could switch it to the other with a single keystroke (e.g., alt-arrow key to indent [subtask] it or unindent, respectively). Presumably, you could also move items vertically with similar ease, since that's so critical when setting up a new project. But instead, and maddeningly, when one hits INS one adds a task BEFORE the currently selected task. Does MS really think that the way one thinks about adding tasks is "Ah! Here's a new task I want to be unrelated to and before the task I've currently thinking about!" rather than "I want to add a task to [or after] this task"?? Outlining seems to be an exceptionally clumsy afterthought to Project, and that's unbelievable to me. One should be able to easily add subtasks, easily move them up and down or left and right through the hierarchy, etc. But I can find no commands or keyboard shortcuts to do this. Instead, it's maddening; I'm currently extremely inclined not to use Project simply because the basic input and project brainstorming seems unacceptably clumsy. (It seems this is the feasible way of using it: outline the whole project on paper or in a text editor first, make sure it's 100% right, then enter it into Project to track it.) A part of me can't imagine this is correct--it must be a user problem, not a program problem.     - Subtasks are Intented Too Much When I indent a subtask, the indent is large (about 32 characters) on the screen, requiring me to increase the TASK NAME column width. Subsequent indents are of equal size, eventually running the 4th indent totally off the screen. The sheet prints fine (even print preview), and this only happens on the screen. The Gantt chart timescale is a continuous calendar display - there's no way
