    - Actual Work, %Complete, % Work Complete, Actual Completion Date I guess I misunderstand how to record actuals in a plan. We are using MS Project 2003. I have a task of duration 10 days with 40 hours scheduled effort. The task completes in 5 days and takes 35 hours actual work. I want to be able to record the task as 100% complete after 5 days. I do not seem to be able to get the result I need in the %complete nor the %work complete. As an adjunct, I have another task (same project) of 20 days duration and 100 hours estimated effort (work). After 10 days the resource has spent 40 hours and the task is 75% complete (not 40% as 40/100 would indicate, and not 50% as the duration estimate would indicate).     - Toolbar Placement Through VBA code, I am transferring two toolbars from a Project file to the Global file. Currently, when I run the code, one toolbar gets placed at the top of the window and the other is placed at the bottom. I'm trying to get them placed side-by-side at the top.     - Uub-Project Strategy? Separate & Link vs. Sub-Task... Mike? I am a former user (P97) introducing Project into my new company. I never was really proficient with Project 97 and so am starting over. This is an engineering firm with about 100 new projects a year, most of which last a couple years. I'm new to the company but see they add about 100 projects a year so the decisions I make now will have a lasting impact on PM. We have 1 resource pool and while one of the PMs take ownership, they all help meet deadlines. Same for drafters and integrators. Our clients are usually large architectural firms who set most of our milestones as deliverables. Our most significant issue is that of over allocating resources causing continual drama to meet dates. It was suggested that I keep all projects within a master project called <company name> and projects become subtasks to that. I've looked at linking projects and carry this concern that if a change is made in one and something breaks I'll loose the whole thing. I really want to do what works now AND forever for this company, so should I commit to linked projects or put all projects into 1 file? Is it a no-brainer or a toss-up? I'm sure I can grasp the all-in-one methodology, however if the call is linked, where do I start learning the real stuff I need? Sorry it's so long a request. I have inserted other project files into the master project. Updates on tasks from both seem to work fine. I have a column that using a graphical indicator for project status.     - Msproject 2003 Project Server - Project Versions The help from MSP suggest to to create regular "Archived Versions"of a project, i.e. monthly to compare progress. How can this be done???? When you change the name of a project MSP Server indicates that you first save the project as a published version therefore after this you can open this project and then save a NEW ARCHIVED VERSION with the NEW name of the NEW Published Version.     - SPI calculation..Urgent Hello Friends , I am trying to calculate the SPI for all possible cases using Microsoft Project 2007. The SPI calculation is working fine for the cases in which BCWP < BCWS i.e. when SPI is less than one..But for the cases in which BCWP > BCWS it is giving the SPI as 1 and not greater than one..On close inspection i found that in the resource usage table , watever extra work has been done on a day is shifted to the next day..Thus if im setting my status date to the current date , it is giving SPI equal to one..I hope u get my problem!! When I install 2007, I get the message thet I have to remeove MS Project 2003 first, although this has been removed earlier.     - How to assign a resource as "lead" on a task I'm sure this is something that many people have encountered. We have many situations where multiple resources are assigned to a specific task, with the expectation that these task owners will collaborate to complete the task. However, I have found that either the task doesn't get done on time because the resources don't know who should be "coordinating" the work. Or, one resource does all of the work without involving the other resources (which of course creates problems). Now, aside from the obvious training issue, I was hoping to help the learning curve by designating a Task Lead in these situations. But I am not sure how to do it. I saw a column in PWA for LEad and was hoping this would be possible. But further reading told me this was for delegated tasks. Is there another way to do this? Thanks! Background: This is a new project and I have updated most tasks manually, but now I have the plan locked down to have updates via PWA only by the team members. I have designed a view in PS 2007 under My Tasks that facilitates team members updating actuals via PWA only. Team members enter the start date, actual work remaining work, save and submit selected. I approve task updates. I watch the queue manager and the update completes successfully without error. I launch the plan and do not see the update. I check Collaborate -> Update Progress -> Goto -> Applied Requests and Errors and the items in question are Accepted and Published. But, again, when I check the item, the start date, Actual Work and Remaining Work are not updated. Any suggestions will be most appreciated.     - Constraint type change / removal I have inherited a group of stand alone programs that I have consolidated into a master program. Many of these programs have hard constraints assigned to the tasks from the various schedule developers by assigning dates to the start or finish columns.     - Custom field to sum work of resources from a specific group Hi, I am trying to write a formula that will test each task for resources belonging to a specific group and then sum/display the total work content (for that task) for the resources from that group... eg. A task with duration of 8hrs uses 3 resources of which 2 are in group A and 1 is in group B. I want to identify/display the total work for Group A. This would be 16hrs in this example I can use the formula.. InStr([Resource Group],"GROUPA" to identify if any resources from Group A are present.     - File is 7mb? I have project that is about 125 lines and 25 resources and the file size has balloned to 7mb! It was 1.24mb until I made some changes today. At one point I populated a column to far down, but I deleted that. I added a couple resources and assignments.     - Formatting a task line gives error I am getting some odd behavior when trying to format a task (a single task). If I try to apply a font color, underline, bold or italics, I periodically get an error message about "You have exceeded the maximum number of cells or Gantt bards that can be directly formatted in this view. you can only directly format up to about 64,000 cells or Gantt bars in a view. Remove the direct formatting from one or more formatted cells in this view, and then try again". My view has ~ 20 columns, so I know it is not reaching 64,000 cells. I am selecting only 1 task. The odd behavior is that this doesn't happen all the time. I can go through and format away all I like, then sometimes (seemingly randomly) I get this error on a task I was previously able to format just fine. I thought it was only on new tasks added in that session, but it really does seem to be random. I can close and reopen the plan file and get the same result. I have even manually copied and pasted ALL the tasks into a brand new plan file and they work fine. So I am thinking it is some sort of data corruption or something occuring on a particual task, but I can't even imagine how to see what exactly the problem is. Anyon else ever get this?     - Fit to pages printing in Project 2007 I am printing my gantt chart and use the option in page setup to "Fit to 2 pages x 2 pages." This reduces my printout to about 96% of the original size. The problem is that it cuts off half of the text above the bar and half of the bar on the printouts. I ahve tried it on two different printers, with the same problem. It also shows up bad on the print preview. I did not have this problem with Project 2003. Has anyone else noticed this? Is there a work around?     - hold Task 0 data I once asked how I could setup a quick and easy method in Project 2003 for a VP to allocate funds to his GMs and Dirs and track what was allocated and actuals against this allocation. I received the response below. The responder isn't available for comment. Project 2003 does not have budget resources so you could establish a â??dummy projectâ?? where you would only hold Task 0 data including the discretionary budget for each manager. Those can then roll up with the RBS to the total for the department/division/organization/company which ever is needed. Then as new initiatives gets included throughout the year they will be coded to the particular department and you can compare cost, actual cost and budgeted cost against the department budget at any time. When one department is running low on that budget, management will have a nice place to see how others are doing and potentially re-allocate funds. This seems like a nice solution....but I don't understand how I would "hold Task 0 data including the discretionary budget for each manager"? I tried to change it bu task settings but althouht you can define number of days for current tasks - they are desplayed in a wrong way. "Current tasks are those tasks which: have started but not yet finished, or have been rejected and not yet resubmitted or are not older than or further in the future more than [7] days."     - Best strategy to present budget information? Hi, I am seeking advice on the topic of how to present budgets with data from MSP. I have exported timescaled data to Excel, and that works pretty well. I have used reports, both standard and customized, and that works pretty well apart from the fact that you do not seem to be able to edit or copy the report after creating it. Still I have some problems. In this particular case I would like to be able to print a table with some summary tasks on in a left column, for example: planning design testing In a particular project we focus on internal and external (sub-suppliers or consultant) costs, so that would it would be nice to be able to have that as two columns for the values. LetÂ´s say, planning is internal cost 10 kUSD and external cost 5 kUSD, total 15 kUSD in the fourth column. (This is typically a pivot chart thing I guess). I have divided resources into internal and external by group in the resource sheet. But I do not seem to be able to complete my matrix with this data. It is in there I know, but how do I get it out without messing around for hours in Excel? Or is that the only way? When I go to print my Project Gantt Chart, be it 1 month or 6, the task summary and Gantt Chart itself only appears on the top half of the page, with the bottom half always remaining blank.     - Multi Location / Multi Time zone in MS Project standalone Hi How can I represent the (same) task continued by a person in different countries across timezones ? One way is to have multiple resource names representing the same physical person with different calendar. The other is to indicate it by splitting the task - one for each country/timezone.     - Capature the time report from MS Project server 2003 We used to get the time report from project server (MS 2003) by Olay Cube, but recently we found there is an issue in Olay Cube. The time report produced by Olay cube is not correct, but the time reported by resources is there, and I could find it in each project plan.     - Copying and pasting a workplan into the master Hi, I am trying to do the following: I am copying and pasting about 300 lines from one workplan to another. The master plan has 17,000 hours and when I was trying to copy and paste the 300 lines from a new plan (lets call it plan A) into the master, I am loosing 1,500 hours. When I did a contrast of the master before and after the pasting, I notice that it messes up the hours on certain resources on only certain deliverables.     - Dragging Finish Date In a Gantt view of my project (MSP2000), when I try to drag the Finish date of a task, the whole task moves instead of increasing the Duration. This happens for any task I try to change. If I create a new task, it behaves the same until I set the Constraint Type to As Soon As Possible. The task Start date automatically changes to the Project Start date. Only then I can drag the finish date to extend the duration. In a new project file, I can drag the Finish Date as per design.     - Corrupt unused rows causing Project Pro 2007 Critical Error Empty rows between tasks seem to be "corrupt" when the plan is opened with Project Pro 2007 (retrieved from Project Server 2007). After adding a task to an existing empty open row, Project Pro 2007 (client) will abort the save action claiming that the project plan is of an unsupported format. On the second save attempt (no other changes made), Project Pro 2007 encounters a critical error, prompts me to send Microsoft an error report, then closes Project Pro 2007. It does not provide me with a web page identifying the issue or a resolution. I can reproduce this scenario consistently. It seems that when I enter a task in ONLY that specific row (row 13 identified below) Project Pro crashes. I can add and edit tasks in other rows, just not in that one. The plan was originally created with Project Pro 2007 and stored in Project Server 2007. The workaround as I have discovered, is to delete this "corrupt" row. After the delete, I am able to add new tasks rows - even underneath the peer task (row 12) of the original "corrupt" row and save without issue. I'm stumped. While I know of a workaround, I would much prefer to know how to keep this from occurring again.     - Frozen value on a customized Project field Hi, A long time ago, I customized an enterprise project field and it worked fine. But in the last days my users began to report problems with this indicator: it takes a Yes value when the default value should be No. When the users try to change it, Project takes the change, but simply does not save it.     - How do I dynamically change font styles/colors? Hey all, I'm a new MS Project (2007 or any other version) user who is running into a process issue with updating tasks and items. I have a project document with well over 2000 individual tasks that I need to track, with a good portion of those tasks already at 100%. I'd like to be able to dynamically assign a font color (or style) to tasks that are complete so they can be easily distinguished against non-complete tasks. Hi,

Why would you calculate that? Project does it for you.
Assign the resource to the task
Gantt Chart, Window menu, Split
In the foem below
set task type to fixed duration
fill in the right diuration
fillin the amount of work
Click OK
