 - How to Archive old mail and get ready for 2006 There may be other ways to archive your old mail files but the following is what I do toward then end of each year to get ready for the new year.. 1. I already have a mail folder called "Archived Mail' with sub folders for previous years. The first step is to created a new sub folder called "Mail 2005" 2. Used the standard Entourage tip to drag my current "Inbox" and "Sent Items" to the desktop. This created two mbox format files. It tales a few minutes so please do not rush. 3. Now drag the two new mbox files into the newly created "Mail 2005" folder. I then changed the filenames to Inbox-05 and Sent Items-05. 4. Check that these files are good copies of your current Inbox and Sent Items in the new Mail 2005 folder are correct. Check that they look like your current Inbox and Sent Items. If not correct, repeat steps 2 and 3 until you get it right. 5. Once you are satisfied (step 4), open your primary mbox and use the "Select All" and Delete Key to create fresh file that will contain your 2006 mail. Do the same thing with your Sent Items file. 6. After you finish the above I recommend rebuilding the database by starting Entourage with the Option key held down. The cool thing about this procedure and the reason I use it is I have almost instant access to old mail files. I just went in and stripped the attachments from the 2004 files. I have folders for my old Eudora mail and separate folders for 2002, 2003, 2004 and 2005 Entourage mail. Each year is a mouse click away in Entourage. I have probably made this sound too complicated.  - Address book contacts dont match E-mail !!! Hi, I am a new Mac Entourage user (OS X) and have a bizarre problem that I just dont know how has happened! My contact/address book contains around 150 contacts, but the E-mail addresses for these contacts has become 'mixed up' - ie the E-mail addresses are all still present, but it looks like the E-mails have randomly associated themselves with different contacts If I double click a contact, it also shows the wrong E-mail address.... I have a PDA which I use to sync (and the PDA does have a correct version) - could it have become corrupted somehow due to the sync process?? I have also tried a 'resync' but the Mac still shows the wrong info.. If there is no way to fix, do you think I should delete all the contacts and then re-download from PDA? Lastly, if I want to BACKUP my E-mail (ie all folders/E-mails under the main tree) can I simply drag/drop onto a Windows 2000 Server?? Many thanks, and sorry for the dump questions!  - Graphics when transferring to a PC Hi there I Have: PowerPoint:mac 2004 11.2 iMac G5 OS X 10.4.3 I like using Powerpoint but have two problems - I'll send a separate post for each one. Graphics I usually have to transfer my presentations to a borrowed PC laptop to show them - I also have (PC) colleagues who sometimes want copies of my presentations. Trouble is some of my graphics don't show on a PC - I get a QuickTime logo instead. All my PC PowerPoint presentations are okay on the Mac. I don't know too much about QuickTime - I don't do anything in particular that I know of to use it for anything - but if there is a way to make sure that Graphics I use show properly on a PC I'd like to know about it. An example is a graphic I've copied from a web page. I have: Entourage 11.2.1 iMac G5 OS X 10.4.3 When I hit the send and receive button I would prefer that the "Progress" window automatically appeared - but I haven't found a way to set it to do that (it did on Outlook Express on my old iMac) - is there a way? Also (and more important than the issue above) - sometimes the progress window has a bit of extra information Sending: To: Completed: Receiving: From: Completed: But note that I said sometimes. Sometimes it does not have the extra information. Whether on not it has this extra information seems to be quite random (but by Murphy's law it's never there when I really want it!). I haven't found a way to turn this on or off. As I still use a dialup I find the information useful e.g. It will tell me the name of a very large file that is taking a long time to send or receive which can help me to decide whether to abort the process because the phone line is required and do my send or receive later.  - Anyone using the "Postponed" scripts? I've been using Bryan Harris's Postponed/Delayed Send scripts for years (http://scriptbuilders.net/files/postponedelayedsend1.95.html). They're an important part of my GTD strategy and Entourage 2004. However, over the past month, the second script (the one that brings the postponed emails back into the InBox) has stopped working. I've tried downloading them again, and checking the parameters (Postponed folder, both scripts in the Scripts folder, etc), and the Postponed script does work.  - File locations Hi All, I'm new to groups... Because of a major motherboard and disc failure, I'm migrating from OS X Panter using Entourage X to Entourage 2004 on OS X Tiger on a new machine. Fortunately, I've backed up my Microsoft User Data "Main Identity" folder fairly recently. I used the wizzard to "import" the Main Identity data into Entourage 2004. My folder structure imports fine (i.e., the names of folders that I created in Entourage X), but all of the folders are empty. There are no old e-mail messages to be found. My database file in Main Identity is fairly large (2 gigs) so I believe the old messages must be there...somewhere. Does anybody have any suggestions for how/where to find them and bring them into my Entourage 2004 on my new computer.  - iPhoto to Entourage: Why can't I see the photos? There are two strange things here. Unlike Apple's MAIL, when I send photos from iPhoto to Entourage to email someone, you cannot see the photos while actually composing the email. Isn't there some way to remedy this? It's very annoying to not see the photos you are trying to tell someone about! MAIL does it well, in fact, you can type in comments between each photo, making very specific comments. Isn't this possible in Entourage? (And if not, what a goof!) To get around the above problem, I will sometimes save the email (with photos already attached) as a draft. Then I can open it again and see the pictures. BUT I still can't type from this photo-visible stage, and if I double-click in order to edit, invariably, every other photo chnages into an unable-to-display icon (the small white box with the red X in it)!  - Mail sent from POP account is received as new mail on Entourage? Hello, I imagine there is a simple fix to this. I currently have Entourage set up to download messages from my G-Mail account. For some reason, it downloads all of the messages I send from my G-Mail Account as if they are new messages that were received from my G-Mail account.  - Project sharing network and .mac tips? I share 3 projects with a co-worker through my .mac account. While syncronizing, Entourage will be hung up or stalled for 5 to 15 minutes (spinning beach ball). In rare instances, the entire machine freezes and I am forced to restart. I can work in other applications. So to get around this, I will not allow Entourage to connect with my .Mac account when starting. I only do so when we have things to synchronize.  - Entourage attaching two copies, not one I'm using Entourage X for Mac with Tiger. My accounting software (MYOB) places invoices to be mailed in Entourages Outbox with the .pdf file of the invoice attached to the email. When I send the email, the only attachment is the .pdf file, but when the recipient receives the email, there are two files attached, the original .pdf file, and a .jpg of the same file? The result is that two identical invoices appear in the preview pane for the recipient. Is there any way to tell Entourage not to create the .jpg image? Thanks, Russell Holladay.  - Rules just don't work Firstly, for some reason my Junk Mail filter is becoming rapidly less and less effective, and only catching a smaller and smaller proportion of incoming spam. This includes messages with a vast range of obvious words in the subject referring to sex, prescription drugs, stock investments etc etc. Words like (apologies in advance if anyone considers some of these words offensive) sex, penis, viagra, cialis, and many others which are definitely too rude to send to an open forum. So I thought that I'd try and fix the problem myself by setting up my own additional Junk Mail Filter rule. The problem is that despite creating a rule that looks for a big range of words in the subject, set to trigger "if any criteria are met" and then mark the messages as Junk and move them to the Junk folder, the message still come straight through to the Inbox. Why is this? I've looked and looked and I can't see any reason why this rule shouldn't work properly. To make sure that another rule isn't in some way "masking" this rule I've moved it to the top of the list, and I can't see anything else I can do to make it work.  - Strange Calendar Printing Bug Every week, when I print a weekly calendar (Sunday to Saturday) for my wife, "all-day" events for the following Sunday (the one following the Saturday on which the week ends) show up on Tuesday of the current week. They do not display on the calendar screen, and events which have times as opposed to being all-day events do not show up on the previous Tuesday. Any idea what is happening?  - Attachments "greyed out" with IMAP account Entourage 11.1 client on Mac OS 10.3.9 with an IMAP account on an Exchange 2003 SBS server. Odd problem just started happening with attachments where the attached files are listed with the proper name and extension and application association as well as size, but appears greyed out. I can save to disk and attempt to open. It will open the correct associated application, but errors out imediately. I don't have the exact error. .jpg files seem to be fine, but word, excel, Acrobat, etc all error the same way. I have tried recreating the account to re subscribe to the folders, but no luck.  - Task List I need some help with my Entourage "task" list. When I print it my "task" side is cut short by the "categories side. Basically on my screen it shows the entire "task" and "categorie", but when I print direct or from a PDF it cuts off my "task" so it does not show completely to me or the staff that I send it to.  - Help... deleting 12,000 emails doesn't shrink database? I saw that my Entourage data base had grown to 1.65 gig. So, it was time to delete emails. I deleted 12,000 emails and their attachments - then deleted the delete file. To my surprise, the database was still 1.65 gigs - even after restarting computer.  - Entourage 2004 Calendar Entourage calendar will not allow me to go past December 31, 2005. We have three people in our office and we have several differnt project centers set up. None of our calendars will go to January 1st, 2006. I have upgraded, looked for patches, had a technician come in, called a help number, created a new identity, stopped sharing th projects with the rest of the office. There is a smaller window on the left side of the calendar that shows a smaller version of the calendar and that I can move ahead to 2006. Nothing works. Any suggestions.  - Enhanced dock functionality I think we can all agree that Entourage is a MUCH better email client than Apple's Mail application. However, there is ONE nice thing about Mail that Entourage does not have: Mail has "enhanced dock functionality" in 4 important ways that Entourage does not. #1. Clicking-and-holding on the dock icon for Mail gives you the opportunity to "Get New Mail". This is PERFECT for people like myself who prefer to check their email manually (instead of setting their email program to check mail on a schedule). The beauty of being able to check email from the dock icon means that you don't have to LEAVE the current application that you're working in just to check to see if new email has arrived. If new email HASN'T arrived, then you're still working in your current app. #2. Clicking-and-holding on the dock icon for Mail also gives you the opportunity to "Compose New Message". This is FANTASTIC! Again, you don't need to bring all of your Mail windows to the foreground just to compose a new message. The new message window floats above whatever application you're currently working in. This would be GREAT for Entourage to embrace this as well. #3. The dock icon for Mail shows the NUMBER of new messages that have been received. This is a really nice extra touch that I would love to see Entourage add to their dock icon! Actually, it would be really nice for Entourage to leapfrog Mail in these regards by providing even more functionality, like DockStar does: http://www.ecamm.com/mac/dockstar/ #4. Dragging-and-dropping any file to the Mail icon ALWAYS creates a BRAND NEW email with that file as the attachment. However, in Entourage, it seems to attach the icon to the FRONTMOST WINDOW in Entourage. If the frontmost window is not an outgoing message, THEN it creates a brand new email message. Is this the desired behavior for everyone? I have found this to be confusing for me. I actually prefer Mail's behavior, although I can see how the Entourage behavior could be desirable in some cases.  - Public Folder emails reverting to Not Read Entourage 11.2.1 Exchange Server, with the latest and greatest service pack (We were hoping this would fix our problem) Users can read or mark as read emails sent to Public Folder "FolderA". A few minutes goes by, sometimes I watch 3 or more "synch" schedules go by, sometimes on the first one: The number of Unread Messages (bold, in parenthesis, next to FolderA) climbs, until all messages are Not Read.  - Junk filter suddenly not working? This is odd. Since 2 days ago, a bunch (20 or 30) very blatant spam emails have gotten through to my Inbox in my Entourage 2004 (v11.2.1). When I say blatant, I mean text emails that have the classics like Cialis, Viagra, etc. I haven't added any new accounts in months, and my Junk mail filter has always been set to High.  - Exchange Sharing Trouble I'm trying to help a client set up a small office on Entourage (SP2) with Exchange (hosted by their ISP). It seems to connect fine, mail functions work, etc. OWA access seems to work fine via the web. When connecting to the Exchange Server from an Outlook client, I'm able to access shared folders. However, trying the same thing from Entourage (selecting File->Open Other User's Folder... and selecting the user and folder type) results in the following error: The user's folder could not be found. Entourage could not find a mailbox for the user (user's name). Any thoughts about where the problem might be? And, regarding delegation, it seems that we can't set it up via Entourage, as the Exchange Server requires an SSL connection. I see the message that "Entourage cannot use a secure connection to set delegation options." Since our Exchange server can't be connected to without SSL, the delegation fails.  - Entourage and Exchange2003 Hi All I have a Tiger clients with the latest Entourage on it, all patched up. I also have a Exchange 2003 server SP2 all patched up. I have integrated into AD via directory services, which seems to work well. However I just cannot set Entourage up as an Excahnge client. It just does not connect!! If I set it up as an IMAP client it all seems fine. However I cannot seem to access the global address book at all as a IMAP client. Can you tell me how, or is there a way I can import it. (I tried this about a month or two ago, and it all worked then as an Exchange client without problem. SO I am a tad upset that I cannot get it to work now. The IMAP seems OK tho'....)  - http error (-18599) in Entourage I am one of two Mac users with limited technical support within our company. Neither of us are able to send email suddenly using Entourage 2004 version 11.2.1 (051004) on 10.4.3. Important background info: our company's Outlook Exchange server was rebooted on Friday afternoon due to a problem with using Exchange WebAccess online. This has not been fixed yet; no one can access their email using WebAccess, but they all (PC users) can receive and send email in the office using Outlook. But since the server was rebooted, the Mac users cannot receive or send email. I receive the following error: HTTP error: Access to the resource has not been authorized. Mail could not be sent. The message has been moved to your Drafts folder. Error -18599. I have tried to use Outlook Express with Virtual PC, and can receive email, but cannot send email. We tried to install Outlook on the Virtual PC, using the correct Exchange server settings, but it doesn't work at all. Going a little crazy here with no email! I have the latest SP for Entourage installed and use the option for new Palm devices. Sync'ing the Palm and Mac requires two iterations of sync when adding or changing data on my Palm. The first sync MOVES the appointment to Entourage. The second sync then propogates the change from Entourage back to the Palm device. I am only opting to sync calendar events within 4 months previous of the date and all appointments into the future. Is there a work around for this? Tag: setting default web browser in entourage?  - Sync Entourage between iMac and Powerbook Hello. I use Entourage 2004 primarily on my G5 iMac. When I need to go away on business or holiday, I take my Powerbook with me. What I would like to know, is there an easy way to get all my Entourage data sync'd between my iMac and Powerbook. For example, an iSync Script or similar? At the moment, I just link the 2 up with a Firewire cable, press T on the iMac and then transfer the Microsoft User Data folder across to the Powerbook - and vice versa. This can take up to 10 minutes I know I could use IMAP - but I choose not to as I like to be in control of my messages and where they are stored.  - keeps showing old database info after it is replaced? I transfer the database file everyday between my work and home computers. For some reason, only on my home computer (at least what I have noticed), when I delete the old database and copy the new one into the folder, and open Entourage it displays the old version. This is after I deleted the old database. I have to logout or reboot for it to recognize the new database. Why does this happen? It does not seem to happen on my work computer.  - Messages don't open unless I'm using Entourage vrsion11.1.0.and OSX 10.3.9 It's been working OK until this afternoon. When I click on a message, It doesn't open. If I double click it will open up completely but I don't usually want this. I did read this morning about holding down the command, shift and o to have only unread messages show.  - Stuck deleted messages I have 3 messages in my Deleted Items Folder that are causing Entourage to crash when I either click on them and hit the delete key, or when I quit I have a schedule that deletes items in the Deleted Items folder, or if I try to view them. I've turned off the Preview Pane so viewing won't cause a crash. I've also rebuilt the database twice. Running a database verification causes it to crash. Sometimes the daemon crashes when I am doing nothing. Using Entourge 11.2.1 and OS X 10.4.3 Any ideas? Is there someway to manipulate the user database file with another program?  - Progress Window Question I've noticed a strange behavior that is not causing any real problems, but I'm curious. When I retrieve POP email with Entourage and have the Progress window visible, I usually have the little arrow under the progress bar that lets me view what is incoming. However, on occasion, the little arrow and the line of information is not visible as the messages come in. All I can see is the progress bar.  - Cannot use Entourage identities from iMac on iBook Ever since I have been using Microsoft Entourage for OS X, I have always checked my personal email at home via my iMac. The only time I want to check my personal (.Mac) email from my school-owned iBook is when I fly back to the States for vacations. At that point, I used to just copy my "Office 2004 identities" folder from my Documents folder on to my iPod, and then from there on to the appropriate place on my iBook Documents folder. Just like that, I could access my address book and check my email on the road and keep all my mailboxes up-to-date. When I returned home, I would just reverse the process, replacing the original "Office 2004 identities" on my iMac, since I had updated my mailboxes while I was away using my iBook. This has worked until this year. Now, suddenly, I can't access my mailboxes on my iBook. Once I drag the identities to the iBook's Documents folder and try to open Entourage, I get the following message: " This identitiy cannot be opened with this version of Entourage" and then Entourage automatically quits. Removing the identities allows me to start up Entourage, so I know that the application is installed properly. I then tried using Entouage's import feature, but when I try to import one of my identities, I get the following error message: "Entourage could not import all of your information. Import from Microsoft Entouage X could not be completed because an error (-61) occurred. Import from Microsoft Entourage X could not be completed because an error (2) occurred." Any ideas as to what is happening? I am running identical versions of Microsoft's Office 2004 on my iMac and iBook (the license allows for installation on two machines), so how could I be getting a message about an identity not being able to be opened by this version of Entourage? I'm running the same version on both machines! Both machines have the most up-to-date OS software updates installed and I have checked that both versions of Office have been updated fully.  - Hyperlinks Recently switched from Windows/Outlook 2003 -- which allowed me to embed long internet addresses into a single word. E.g. I could write: Check *this* site out. But in the above example, the word *this* would actually be a hyperlink to some impossibly long url that I copied/pasted from my browser's address bar. I simply wanted to print my Christmas Card List from my Entourage 2004 (version 11.2.1) address book. It sure sounds simple to me. Printing features do not have label support and no way to add, for example each record formatted for an Avery#5160 10 row by 3 column- 30 labels / page. Even though you can print one label , in theory (I say that becaause I didn¹t try it the preview didn¹t appear though), you can¹t customize a label page. For that you need Word, more on that later. 2. Export features work from Entourage to Mail.app. I selected my cards to a new category because the export can use only the entire list or a group of categories to export. Mail.app support labels quite nicely (similar to Outlook on W$). However there is a difficulty (design flaw?) there too. 3. With Mail, you can¹t assign which fields to print and by default the Company name does not print when the address record is set to ³First and last Name² or vice versa (Name doesn¹t print when ³This is a Company² is selected for the record). While this might be beneficial for some operations, it helped me not at all. 4. Word¹s merge system is really bad with Entourage. I get that within Office, Entourage Addressbook is accessible (to Word and I suppose other components) and all the addresses in the Entourage database reside there. However to use them is a different story. Setting up a merge of that data in Word if a field is missing for example, results in all other merged fields being bollixed up. The set up direct from Entourage is generally tedious to boot. I had about thirty names to cull from a database of 1130 records (instead of the thirty I already flagged and /or categorized specially). That didn¹t really work too well. 5. In the end my wife, who¹s an Excel guru came up with an obvious answer, though again it was tedious- export the entire list and hand pick the names again. She had to shuffle the addresses to one column (where they were home or businesses) add an address or two where blank and merge the mess to Word where it could be printed on a pre-made Avery format. No wonder Office is needed. A 1 hour (at most) task became a project. Anyone know how this seemingly easy task could be better done directly in Entourage?  - PST from Windows to Mac Hi everyone, I'm new to Mac, and I'm extremely happy with it, and with the Entourage application, which I intend to use from now on. My problem is that I don't know how to export all my messages from my Windows machine (Outlook XP) to my Mac. The pst import tool I've found only works between mac versions...  - Entourage Project Calendar does not display all weeks Has anyone noticed that when you view a calendar in Entourage Project views it displays a month as a 4 week month or 5 week month - but it is not synchronised with the actual number of weeks in the month.  - Resonding from e-mail address to which message was sent Hello, This is in regard to the default e-mail address. I have several e-mail accounts (POP) downloading to Entourage. When I respond to any message sent to any of these accounts, it is always from my default e-mail address (opposed to the address to which the message was sent). Can I set this up such that the account from which I respond is identical to the account to which the message I am responding to was sent? I tried messing with "Rules", but was not successful.  - Before I completely give up on Entourage Projects... Before finally and completely letting go of the idea of using Entourage 2004's potentially great Projects as a way of tracking my large projects for 2006 and beyond, I wanted to find out if anyone has a story (yours or some link) of someone truly successfully using it to track large, long-term business development plans, such as taking a product from idea stage to completion. E'rage Projects has been one of those "I think I can use it if I can just learn it better!" things in my life. I don't think a week has gone by since Office 2004 came out (bought it immediately) where I haven't opened up Project, or read another article or book on it, trying to get my mind around using it. Part of the problem for me is that I have yet to meet anyone (live or on the Internet) who actually is using it to track and organize a large business project. I'm a big fan of modeling: if I can see an example of how something is used, I can usually get it. As the year end approaches, I'm going to give it one last go around this next week, and then dive deeply into the world of OmniOutliner Pro (with its cool add-on, kGTD from www.Kinkless.com). The preference to set the default email and browser application in Panther
is no longer in System Preferences. Apple now requires you to make this
setting in Safari or Mail preferences. However, there are freeware
applications you can use to set preferences. Links for these can be found
