 - Ent 2004 - Exchange / Large Mail DB Issues All, Just wanted to put a message out there regarding some issues I've been having since implementing Ent 2004 in our Exchange environment. Now, the disclaimer for this message is that I do understand that a lot of what I am proposing or asking about here is quite "far out" and may be quite unachievable. I definitely am aware of that already, and would prefer that people don't bother with the "there's no way that's possible" type responses. Maybe the only answer to this is that it is incorporated in a proper update from MS? (we can only pray!). But I am hoping that in the mean time there is someone out there that can help with any possible workarounds? Now, first I have to say that we initially setup all our Macs with Ent X connecting into Exchange. With a few of our Mac clients having used Ent X for quite a while for POP/SMTP (before we got Exchange) and having a relatively stable / happy time using it I thought it would be the same connecting through to Exchange... *coughs* But, I'm sure most of you are aware of the problems that Ent X has connecting through to Exchange - all the crashing, DB rebuilds required, etc etc... Not to mention lack of functionality as compared to PC Outlook or even Mac Outlook 2001 / OS 9... *coughs louder* Anyways - when Ent 2004 came out + I was able to get my hands on a new Exchange server media kit (to get the Ent 2004 client installer for free! :)) - I eagerly went about installing this because ANYTHING would be better for us than having to put up with the incompetence of Ent X. OK - so Ent 2004 was installed and pretty much everyone has been happy ever since. Except ONE GUY! :) Who happens to be a DIRECTOR of the company I work for and as such needs to be kept happy ;) Now, this guy has a very large mail DB. Around 15,000 messages - with the Sent Messages folder alone containing around 9,000 messages. On top of the amount of messages, he has a large folder structure for all his client and internal mail to be stored into. All the other guys have smaller, much more managable DBs. But this one guy has this large DB, and basically the one thing that was good about Ent X was the fact that it used IMAP for Exchange connectivity. So, with using IMAP as compared to WebDAV in Ent 2004 it didn't need to constantly sync itself with the server and bring every new message it found straight away. It worked more on an "on demand" basis. You click on a folder, and THEN it would download messages as required. So, basically with the large mail DB it didn't have much of a problem. It left each folder alone (other than Inbox / Outbox, etc) and didn't worry about sync'n until a "user action" required it to. Now, with all the great features of Ent 2004, the stability of the mail DB, of it's Exchange connectivity - the ONE great failing of it is it's use of WebDAV which constantly syncs EVERY folder (including all Public Folders) and brings down each message the minute it sees it there. Now, in some ways this a good feature - if you are using a small, more managable DB then you will have no need to wait for server message downloads again - and also Public Folder viewing is nice and snappy, etc. The BIG problem here with our friend with the large DB, is the fact that his DB is so huge that the cycle that Ent 2004 goes through with sync'n messages simply takes FOREVER! Up to 20 minutes he claims - altho I think that may be a bit exagerrated. But, nevertheless it takes a good chunk of time - and the whole issue is that the "Inbox" folder is stuck within that sync and is only carried out ONCE within a full cycle. What this results in is a very long delay in received email actually being shown / downloaded into the "Inbox". From this guy's POV this is simply unacceptable - and quite understandably so. Now, obviously there is a case here to say that this DB should simply need to be cut down with older messages archived, etc - which would of course solve the problem - but this guy needs to carry out searches across these messages often. So, they need to be very easily accesible. And also need to be "protected", ie. part of our back up process. Any of Entourage's archival options ("Export" menu feature or drag-drop to Finder) are nowhere near sufficient for the amount of messages, and the large folder structure we are talking about here. There are many, many workarounds I have thought of, but each brings it's own pros + cons to the table, and NOTHING is as good as keeping all the messages within the single Exchange DB as it is - something that is accessible through all clients (PC - Outlook, Mac - Ent 2004, Web - OWA) and is also kept within the Exchange server for data protection / backup. So, what I was thinking was - the ONLY way around this easily is simply to make the Ent 2004 > Exchange sync process able to do any of the following: 1. Have the ability to flag EVERY folder within a mail DB as either "on demand sync" or "always sync". So, basically all folders that aren't needed to be constantly sync'd can be pushed to "on demand", and start acting like Ent X IMAP / Exchange folders used to. This will largely decrease the amount of time a sync takes and solve the issue. Is there any reason why the switch to WebDAV in Ent 2004 would change the possibility of this occuring as it used to in Ent X? 2. If the above isn't possible, then make an "Inbox" folder sync occur at much higher priorities, so that no matter how long the full sync takes, messages are still being received at regular intervals. Why can't the "Inbox" folder just be constantly sync'n at the same time as "main sync" process takes place? Bandwidth issues? Surely not?! Now, both the above seem to be quite low-level solutions that would most probably need to become an MS Update to the actual code running all these functions within the program. The question is - how easy would these things be to implement for MS? How could pressure be put on them to implement this in the next Entourage update? There are definitely no settings that can get this working within the Entourage Prefs. I understand there are MANY things out there on the wishlist for Ent 2004 - but this is a HUGE issue in my books. And as such it is a HUGE issue with a rather simple fix just waiting to be implemented by MS... (please MS!) Are we expected to just have mail DBs with small folder structures and HUNDREDS of messages rather than THOUSANDS? When at the same time an Ent X / Exchange could handle this setup with no problem? Or are we just expected to wait for this sync cycle to complete and believe "20 minutes isn't that long a time, so it's OK?" Or are we expected to just change back to using IMAP/SMTP protocols for Exchange functionality and lose a lot of the other good things that come with the Ent 2004 / WebDAV setup? The organisation I work for is rather small + as such only ONE guy is experiencing this - with the other mail DBs being much smaller. I would expect this to be much more of a problem at a larger organisation. It's quite strange I have heard nothing about this here?! Is anyone else experiencing this? Or are they just putting up with it? Is there, ANY way of getting the above noted options working by other means? AppleScript? Some kind of changing of "internal software" prefs that could somehow get this working how I wanted?  - .Mac email going into main Entourage account I have Entourage 2004. I have a .Mac account and a regular POP email account. I set up the .Mac account as an IMAP account in Entourage. However, when I receive emails sent to my .Mac address, it always goes into the regular, main POP email Inbox, not the .Mac Inbox. This doesn't seem right.  - Trying to remove Entourage messages from Server Thanks to the great scripts already out there, I've gotten this far! But now I need some help. I direct certain messages automatically to subfolders in my Inbox. Sometimes they're marked as read, sometimes not. Regardless, for certain subfolders, I would like to write a script to remove them from the server. Since some of these folders have hundreds of messages in them, I only want to apply the script to messages received today or yesterday, or within some recent period. I've discovered that if I don't do this, it takes forever to run the scripts. Here's what I have that I was hoping would work, but it's not: tell application "Microsoft Entourage" repeat with m in messages of folder "United" in folder "Inbox" if online status is fully downloaded then set m's connection action to remove at next connection end if end repeat end tell I get the following error with this script: Microsoft Entourage got an error: Can't get online status.  - Ent X - Rebuilding every 2 days - why? My Entourage (X/not 04) is dying every couple of days. The kind of death where the icons go gray one by one, the folders all seem to be empty, and you can't get out of the program except by Force-Quit. After this happens I start with the option key and do a complete rebuild of the database, and then it works for a few days but inevitably goes bad. What is going on here? This is enough to drive me to use Apple Mail/Address Book/Calendar !  - Saving Entourage Emails & Attachments Hi there Could anyone give me some advice. I would like to save my Entourage (version 11.1) emails to a server so they can be accessed by non-mac users.  - Spinning cursor when composing I have an irritating problem. Whenever I go to compose a message in entourage 2004 I get the infamous colored spinning cursor about every 30-45 (although this can vary) seconds. When this happens everything freezes up until the computer is done "thinking." I've seen this issue come up with others, but never heard of it being resolved. Any ideas? Again, this usually only happens when I am composing a message although occasionally the problem will occur when I am deleting or moving messages.  - Adding Email Address using Rules Hi, I'm trying manage a mailing list. I've created a rule to add the sender of a specified subject "Subscribe" automatically to my address book. The rule adds the sender's email address, but does not parse the first and last name and place them in the correct place in the contact created for the email address in the address book. Is there a script or a specific cgi format that the information on the form needs to be returned in so Entourage will place the first and last name into the contact.  - Tab navigation in Entourage doesn't work consistently Here's what I think is a bug I thought would go away in Entourage 2004 (upgraded from Entourage v.X) but it's still there. Create a new appointment in the Calendar, enter the Subject and Location, then enter the Start time and click in the Duration box with the mouse to enter the length of time. Then press the Tab key to go to the time measurement box to the right of the Duration box. You can't! The tab key goes directly to the length of time box for the Reminder. When my hand is already on the keyboard, the last thing I want to do is be forced to use the mouse, particularly when the next entry also requires keyboard input. The same mistake continues after entering the length of advance notification for the Reminder. Pressing tab takes you to the comments filed at the bottom, completely skipping both the time measurement box for the Reminder and the Travel time box.  - Trouble moving collapsed emails One of the great things about the entourage interface is that you can collapse emails by subject. I subscribe to A LOT of listservs and so it's nice to be able to view incoming emails this way. My problem is that if I collapse my inbox (by subject) and then attempt to move multiple collapsed headings to a folder entourage spins wildly and I have to forcequit it. I can delete emails this way but attempting to move them results in this behaviour. Connection is to a notes server (YECH) via imap. If anyone has any ideas I'd much appreciate it. Dan.  - Does Size Really Matter? Good Morning. I have a user with an obscene exchange mailbox. Their mailbox is approaching 2Gig. I have not found any information where Entourage states any size limits. The program crashes constantly. We've run the db utility on the program and it fixes some issues, but when Entourage starts to pull the exchange server messages back in it slows the program down. One of our users discovered that the groups he made in Entourage 2004 don't appear in Outook Web Access. I took a looke at my own account verified that groups in the Entourage contacts are not showing up in OWA or Outlook 2003.  - Palm synchronization problem (national characters) Hello to all. I'm using Tungsten T3 with Mac OS X 10.3. The problem I have is about Palm <-> Entourage synchronization. I've installed the correct conduit, but when the synchronization is performed all the national characters are lost. I.e. if I type something in Polish into Entourage (creating a task or a note), each of national characters I type is converted to '?' during synchronization. It's strange. When I sync to Palm Desktop for Mac, the national characters are retained (no matter if I enter them on Palm or in Palm Desktop). Any help will be appreciated.  - Re: Considering a new iMac OE kind of combined with Outlook 2001 for Mac to become Entourage. That's what Microsoft offers now for either POP, IMAP, or Exchange mail accounts. That said, you can also use the built-in Mail, iCal, and Address Book apps as well, including Exchange accounts (except for scheduling with iCal, I don't know of a way to do that.) In future, let's keep the discussion on the newsgroup so everyone can follow. The email does not contain HTML, but it does have several links, one being the link to the order status page in the format http:// i.e., it's not enclosed in angle brackets. I cannot click on the link--my browser isn't launched if I do. If I cut and paste the link into the browser, the page is invalid (according to the remote server, not Safari). The ending set of question marks are (in the email) a series of Asian characters (Chinese or Japanese, I don't know. I have my newsreader set to Western encoding, so they couldn't be pasted in).  - Hotsinc 'File is locked' Error Since I created 'sub-identities' in entourage (ie I don't use the main identity only since my children also use entourage for email), Whenever I hotsync I get an error 'File is locked'. This prevents my palm to sync with Entourage. I found a painful workaround, which is to go in the 'office 2004 identities' folder and change the ownership & permissions to 'read and write' from 'read only' for group (owner remains set to read & write) for all identities but I have to do that everytime I sync.  - Addresses in Groups I have been using Outlook for a long time and like the ability to compress my contact catagories into groups (i.e. if I have 5 Contact Catagories and 10 contacts in each, I can set it so that I only see the Catagory Group name w/a + sign.  - a bug in Entourage ? Hello Hoping a MVP will see this and pass on to MS I found my Entourage was CRASHING when I was getting e-mail from one account. Rebuilding and clearing permissions didn't dop anything -- so I logged onto the mail server from a web browser ... and noticed that there was one e-mail sitting there that looked BLANK -- no subject or sender info. Once deleted thru the web browser -- all is well again. No more Entourage crashes. Using Entourage 10.1.1.  - Re-receiving Emails - IT WON'T STOP!! Hi! I opened Entourage today and something weird happened. It is getting all of the messages left on the server. I know there is an option which lets you do this, but the thing is I didn't ask entourage to do this and now I have hundreds of emails being downloaded into entourage and I can't make it stop!  - Office Apps Stuck During Start-up I recently upgraded to Office 2004 on my iMac and iBook. No problems at all on the iBook, but the iMac is another story. When I try to start any of the Office applications the app's splash box appears on the screen as normal. It displays my license name, Product ID and below that "Configuring Office Components..." and never gets any further than that.  - Install Entourage conduit - MS Component Plugin error I have Mac OS x 10.3.7, MS Office 2004 (academic), and a new palm zire 72. I have gathered all of my addresses in the entourage address book, and want to sync with the zire 72. I downloaded the entourage conduit. When I tried to install it, it failed with the message that I needed the Microsoft Component Plugin . I can't find it. The suggested entry for conduits on the office install cd does not appear to exist. Anybody know how I can get the conduit installed? Or is this some restriction on the academic version of office?  - New Entourage 2004 leaves junk mail as read In the older vs. of Entourage, all the emails that I specified, or were determined by the filter, as "junk mail" went to the junk mail folder and were marked as "read".  - Temporary Freezing Entourage I have the G4 powerbook 1.5ghz and I even shelled out for the faster hard drive. Yet, I find entourage freezing on me for 30-60 seconds at a time. I don't jump the gun and reset or force quit, but wait and it comes back to working in that time frame. It usually happens when I switch from email to calendar or notes (basically when I switch modes within entourage). What is causing this? Are there any fixes?  - Tungsten T5, Macintosh Entourage, Sync birthdays. How's that for a subject that is search friendly. Ok, just upgraded from Palm 505 to Tungsten T5 and was overjoyed to see a birthday field in the address book that added an event to the calendar. Until I synced it with my Entourage and neither the birthday in the contact, not the event in the calendar came over. Is this something wrong with my setup, or with the sync implementation? I routinely refer back to emails two and three months ago. I¹ve read some of the options suggested. One was to create a custom view of messages in a certain period, categorize them as ³archive² and export all in the archive category. That seemed swell until I tried it. There are 83000 emails that are more than 270 days old. Also, I really don¹t like losing the folder and category information. Along the way yesterday I managed to foul up my database and had to restore it from Retrospect. Then Entourage decided it needed to be rebuilt, which took about an hour. I lost all of the newsgroup messages I had accumulated and can¹t find anything now on the various macro solutions others suggested. Help, please? It might also help me if I knew how easy it is to access messages in archives. I am guessing I have to import the entire archive to be able to locate one message? I'm using Entourage 2004 for Mac (Version 11.1.0), and I was wondering what
the difference between "receiving mails" and "refreshing message list" is.

I just started using Entourage to read mails at my Hotmail account, and I've
noticed that I, more often than sometimes, have to "Refresh Message List" to
have mails appear in my folders.

Along these lines, I've also noticed that my sent mails sometimes do not
appear in the "Sent Items" folder until I "Refresh Message List."

I even tried checking all the boxed in "Folder Synchronization Settings,"
but I don't see any difference.

Could someone tell me what the difference between "receiving mails" and
"refreshing message list" is and ideally optimized settings for Hotmail
account in Entourage?

I would guess that receiving mail is for POP accounts (where e-mails are
retreived from the server) and refreshing message lsit would be for IMAP
or WebDAV based e-mail (where e-mails are on the server and ENtourage
queries the server to see what's new).

Yep, Hotmail falls in the category of type of e-mail that are stored on
the server (I think it uses WebDAV, but I'd have to check).
