Rule for signatures?

Hi,

Is there a way to set a ³rule² so that certain signatures are sent to
certain recipients? For example, a rule that would send ³signature 1² to
recipients of ³domain-X² and ³signature 2² to everyone else. The first
would be for internal use and the second for external?

Hi Gary!

For new messages this would require an Outgoing rule to be applied,
however, rules are not applied to Outgoing messages until they are
already sent. You can make two accounts (one for internal and one for
external) and assign a different signature (one for internal and one for
external) to each. Read below first.

First, this will only apply to POP accounts and IMAP accounts. You can
not do this with Exchange.

For replies you can do a little manipulation with accounts, signatures
and rules to accomplish this automatically.

1. Create your two signatures using whatever names you prefer. I'll call
mine "Internal" and "External".

2. Create two accounts with identical settings. I'll call mine "ACME -
Internal" and "ACME - External". (If this is an IMAP account then set up
the second account as a POP account.)

3. For the external account disable the 'Include this account in my
"Send & Receive All" schedule'. This way, both accounts can still send
mail but only one will pull in your mail. Since they're otherwise
identical it doesn't matter which retrieves the mail. (If this is an
IMAP account then the "ACME - External" account where you de-selected
the schedule should be your POP account. IMAP still uses SMTP to send.)

4. Under the Options tab of each account, assign the appropriate Default
signature. "ACME - Internal" will use the "Internal" signature and "ACME
- External" will use the "External" signature.

5. Create a new rule (POP or IMAP, depending on your account type) with
the following settings:

If From Does not contain yourdomain.com
Change account "ACME - External"

When you receive a message from someone with an internal domain address
of "acme.com" then the rule will not trigger. Because your "ACME -
Internal" account is receiving mail, when you reply your "Internal"
signature will be used.

When you receive a message from someone with an external domain address
then the rule will trigger and change your account to "ACME - External",
which will also change your signature to your external signature.

For new mail, you can select using your "ACME - Internal" or "ACME -
External" account name for sending to quickly set your signature.
