creating custom fields for contacts
I want to create custom fields in the 'details' section of contacts. I was
able to create a new section but when select the 'Add Fields' I can only
choose from the fields created by Microsoft.
Ideally I would like to be able to create a custom field and determine if it
needed a pull-down or user entry or user selected (like a simple yes/no)
Is this possible?

Activities sync with Exch or Outlook?
We would like to be able to use CRM 4 to schedule our service work. In past
versions of CRM, my understanding is the only way for an appointment,
service appointment, task, etc. to appear on a technician/user's calendar
was by using the Outlook client. The downside to this naturally, is Outlook
would need to be running for each user for the sync to occur.
Has 4.0 changed this to allow the sync to occur with Exchange directly
(perhaps via OWA)?
Our issue is most of our technicians we wish to schedule use laptops, which
may not be connected for days to the network, so using the Outlook client
really isn't a good fit for getting up-to-date appointments. They do
however, have SmartPhones which sync with Exchange/OWA - so this is really
where we need the updates to occur.

No Microsoft CRM databases were found on the server
I am following the steps from article 917948 precisely. At step 7, it says
to go into CRM's deployment manager and modify the sql server, but after I
enter it and click on Next, I get the error that there are no crm databases
on the server, but they are there.

Editing Workflow Rules
Hello,
I have a couple of rules that I am running in CRM 3.0 that create activities
based on change events. For instance, one rule creates a letter activity when
the status of an opportunity changes to from open to won. These rules seem to
run perfectly until I disable them and then re enable them later on. They
haven't been edited in any way, we just wanted to stop the rules from running
for a bried period. When I re enabled them, they either run properly on some
events or they don't run at all.
My question is, would stopping and starting a rule cause problems like this?
I have tried different variations on the rules to see if it was maybe the
way I had the rule built, but it seems to happen on all of them.

Error adding Products to an Opportunity
Hi,
I have just installed a new instance of CRM 4
All aspects of the system work fine apart from when trying to add Products
to an Opportunity. When clicking on products from within an opportunity
nothing actually happens - i.e. no window opens. In the bottom left hand
courner of the opportunity it says error on page. All popups are turned off.
This issue occurs on teh server in a browser, on a client in a browser and
in outlook on a clients machine.

Workflow-Invalid condition present
Upgraded to 4 recently and some workflows aren't working anymore. Here is
what the workflow did in 3.0:
1) Add date and time: Scheduled Start
2) if
3) Service Activity.<Service>="Subject A"
4) then
5) Wait for 1 day(s), 12 hour before Scheduled Start
6) Task: "New Task created"
7) else if
8) Service Activity.<Service>="Subject B"
9) then
10) Task: "New Task 2 created"
11) Wait for 1 day(s), 12 hour before Scheduled Start
12) Task: "New Task 3 created"
13) end if
14) Stop
In CRM 4, Line 1 doesn't give an error. Lines 2& 3 also are ok, but as soon
as I add the Wait in line 5, everything from the If on down becomes invalid.
The error simply says "Invalid condition present. Click to specify new
condition"
I'm just getting started with 4.0 workflows and I'm guessing this is
something obvious, but anyone have any ideas on why this won't work in 4?

CrmCheckPrivilege failed error
We are using CRM 4.0, which was upgraded from 3.0. I just added new security
roles into an existing business unit. Then I added new users and associated
them with the new security roles. When the user tries to log in, I get this
error:

If I take a user that existed in CRM before the upgrade and associate them

SQL Server problem on sending newsletter, please help
Dear All,
I am using CRM 4.0. When I attempt to send newsletter via email to the
marketing list, suddenly there is a pop up error saying :
"A SQL Server error occurred. Try this action again. If the problem
continues, check the Microsoft Dynamics CRM Community for solutions or
contact your organization's Microsoft Dynamics CRM Administrator. Finally,
you can contact Microsoft Support. Do you want to send the e-mail? If you
click Yes, the email will be sent out, but no corresponding activity will
be created in Microsoft Dynamics CRM."
Would you all please tell what it might be wrong?! I have been tryig to look
for the solution on google but there's no really correct solution.

When a special product is on a quote they would like the CRM-system (4.0)
automatically to create a serviceactivity.
The creation of the activity will happend at the same time the quote is
converting to an order...

Email Tracking CRM 4.0
Hi
I am trying to set up automatic email tracking on CRM 4.0. I have installed
and configured the email router and a forward mailbox - test is successful.
I have also got 2 users where the incoming rule = forward mailbox.
When i send an email from another user account in the same domain to a crm
user on whose account the rule deployment wizard has been installed, the
emails get to CRM mailbox but do not get promoted to CRM.
Can someone please help me what I might be doing wrong. I would really
really appreciate some help please.

Installing CRM Mobile
We're attempting to install CRM Mobile and encountered major issues.
One of the early install steps creates a database. From what we've
seen, there are actually supposed to be several dbs, but we only get
the MSCRMMobileMessaging db. Ignoring that, we continue on with the
install and are told that the database cannot be found on the
specified server.
We have an application server and a sql server.

Outlook Plugin Default View
I'm using the Outlook plugin for CRM 4.0. We have our default view
for Accounts set to "My Active Accounts", but this is not time
effective for me since I do not have any accounts and have to change
views every time I navigate to accounts.
Is there a way for a user to change default views for themselves
only? I know this is possible company wide, but have not checked with
the rest of my colleagues to see if this would be beneficial. I would
really like to know if it's possible, even if they want to change the
global default.
I use the Outlook plugin only, no longer going to IE for CRM. In the
Properties for the folders there is an option to change the default
homepage of that folder, but I cannot find how to change the

CRM 4.0 Error When Deleting A Record
I have upgraded from CRM 3.0 to CRM 4.0. In the mist the sql server
crashed and we had to rebuild CRM by redeploying it on a fresh
install, then using the Import Orgainization wizard to import the
database. Now i get the following error on the CRM server box when
trying to delete any record in the system. It will take several
minutes before anything happens, sometimes i get an error on my screen
and the record doesnt delete, other times it finally deletes after
roughly 5ish minutes if not longer.

I saw in a different post someone say try running the following select
statement on the SQL database and respond w/ the results.

I received 55k+ records of

repeating, ended up being the whole table matched that critera..
Also on top of all that; the duplicate detection rules can't be
deleted or unpublished saying that there is an active process running.
There are none...

Customize Activities
We have requirement to track various products with activities (email, fax,
appointment, etc) and associated account. For example: A phone call activity
for Account X (Regarding) had following marketing products discussed: prd1,
prd2, prd3. The marketing product is an entity.
Can activities be customized to include this kind of scenario (either in crm
3 or 4)?

Microsoft: How the 4.0 E-mail Router service query Exchange mailbo
We found the CRM 4.0 E-mail Router service query Exchange mailbox via a
'half' SMTP address, not via the primary SMTP address or SAM account.
e.g.: In our case, we have a test user in CRM, the user's SamAccount name
is: TU341-NBG125, SMTP mailbox: TUser@domain.com which is the user's primary
email address in CRM. The CRM E-Mail Router service should be making a
request to Exchange mail server for the Test users mailbox using
http://ExchangeMailServer/Exchange/TU341-NBG125 instead it is using
http://ExchangeMailServer/Exchange/TUser
We also find out that the service account needs to have permission to access
'Root' and 'Inbox' folder of user's mailbox. e.g. if the service account has
such permission, it can find user's mailbox by using the 'half' SMTP address
(http://ExchangeMailServer/Exchange/TUser ). However it's might be a problem
for a hosted company who doesn't want to grand the permission for the service
account.

Error when attempting to change Owner CRM 4.0
I have CRM 4.0 (recently upgraded from 3.0)
Now when I try to change owners of an Account or Contact I get an
error message "Invalid Argument" and I can't change the owner. I am
the administrator and I can't even change it to myself.

Simple workflow rule in 4.0. ...I think.
I have a user who "accidently" closed many of the Activities (phone calls,
emails, etc.) by accident. I'd like to re-open them, so I thought I'd take
advantage of CRM 4.0 and make a simple workflow rule to do this. I figured
the primary entity you'd need to change is "task" no? I save and publish a
simple rule, but it does not show up when I click on "Run workflow" under
Activities. I've tested it the same situation on other entities (contacts,
etc.) and it works fine. Any ideas? Has anyone else done this?

How to control status of assigned tasks
There is 2 kind of situations (maybe more, but I dont know):
1.task (task, phone call, letter, appointment e.t.c.) created by me;
2.reassigned by me (1st assigned to me then I assigned to somebody else).
I would like to control the status of these tasks (done or not, over due or
not ...)
How to do that? (by view or reports or other)
Additional rule: owner of the parent of the task (opportunity, account,
customer, case and others dose not owned by me)

Is it possible to have an orderbutton on a serviceactivity where you can find
the order that belongs to the serviceactivity just by clicking on the

This can make sense if the following part works (systemnumber):

Unfortunately you will have to get into the Microsoft CRM SDK and develop a
set of (for CRM v3) Pre-Callouts or (for CRM v4) Plugins which will set the
autonumbers for Activities or Orders as you add them.
Usually this is just a case of an incremental number for each Activity or
Order added into the CRM system - however in your case you may need to use
the CRM Web Service to add the relevant logic to produce something similar to
the following example:
First Activity associated to an Order (5) is numbered 5-001, second activity
05-002. Then may extend this to that any Invoice created from Order 5 is
also labeled as Invoice 5, and any activities created regarding this Invoice
follow the same numbering format. (5-003 and so on)
Whilst this will involve developing a .NET module, it should not overly tax
a proficient developer. Like any development however, it is worth
considering whether the business requirement is required enough to justify

If you are in an appointment a customer would like to have a rollinglist with
different status in it. If you choose a special status and you save the

Email Template Structure

Is anyone aware of a method where we could insert the details of three
orders into an email.
Our sales people send a daily sales order report and I am aware of the fact
that we can create a subscription in SQL Reporting Services.
I have tested the creation of an email template and also the creation of a
manual workflow rule which works however we would like to include slugs which
Show Order1TotalAmount, Order2TotalAmount, Order3TotalAmount. When we execute
teh worklfow rule 3 emails instead of one email which combines all data.

Is a license required for a test server
The scenario is simple - a company has a test server and a live server. they
want to do development on the test server, and when the customizations are
tested, put them onto the live server. Both will be running CRM 4.0
Professional Edition.
The question is - can the SAME license key be used for both installations,
or is it necessary to purchase two copies of CRM 4.0 Professional Edition. If
the same license key can be used, are there any issues with registration of

Disable fields according to User
Hi
We have a picklist that we would like to disable and only allow two users
within our organization to edit. I have researched this briefly and I assume
that the following bit of Jscript would work.

then crmForm.all.new_textfield.disabled = true;
I am correct in saying this. I will test the Jscript shortly however I would
like to ask if anyone has attempted anything similar, possibly notices
anything wrong with the script I am about to test or is aware of the fact
that for some reason the script I may use is unsupported.

Error when adding New user from trusted Domain (MSCRM 4)
I am trying to add in New user from different domain (trusted, forest). Upon
keying in the Domain name\userid, the user information can populate to the
various fields. The error 'An Error has occured. Contact System
Administrator.' occurs when trying to save. I register another user from the
local domain, it works.
The domains are confirmed to be trusted as I have tested with another server
running MSCRM 3, it can register new user of different domain.
Is there any workaround for thsi issue (MSCRM 4's bugs)? Look like others
are facing the same problem as well.

Workflow on new entry in queue
I'm trying to kick off a workflow when a new message arrives in the ms crm
4.0 queue. I'm basing my workflow on the email entity but can only get it
to fire if the email is created from within CRM, not from someone emailing
into a queue. Classic support@mycompany.com example.
Any ideas?

Error when assigning new owner
I am the system administrator. There is a specific account that I own. When
I try to assign this account to another user, I get this error - "The logged
on user does not have the appropriate security permissions to view these
records or perform the specific actions."

filter closed appointments from synchronization ?
Hello CRM 4.0 Specialists,
we have the following problem in our company:
we have too less memory in our Exchange - only 25 MB per person.
And CRM tries to put all appointments - even already closed - in
Outlook.
This definitivly kills our free space.
Is there a possibility (even a dirty hack) to minimize this
synchronization ?
We only need the open appointments in Outlook.
Any help would be great!

Custom Entity and Activities
When I create an activity on a contact that is associated with an account,
that activity will show up below the customer as well as with the contact.
I created a custom entity to store all the equip that is owned by a cust.
When I create an activity associated with that equip. record, however, the
activity doesn't show up under the Customer account like the activity
associated with the contact does.
How can I get these activities that are entered under the new custom entity

CRM 4.0: "Lookup Address" button doesn't always show contact's add
Hey all of you masters of the CRM, here is a puzzle for ya.
We made the upgrade from CRM 3.0 to 4.0 this weekend, and most things have
been going well. We are noticing however that when you are in a contact, and
select "orders" followed by the "New Order" button, once you click on "Look
up address" it doesn't always show the address associated with the contact
(even though I can confirm that the addresses show up in the contact). Some
records show it. Others do not. Not sure how to figure this one out. Any
ideas?

Workflow Issue for CRM 4.0 Related to Notes
My president wants an e-mail sent to the Contact and/or Account owner
when he adds a Note to the Contact or Account in CRM. Seems pretty
simple. I created a workflow to run on Note creation. It looks like
this:
If Note: Created By Equals President's Name then
Create e-mail message
In the e-mail message, I want the To: field to be the Owner of the
Contact (assuming the note was added to a Contact).
In the TO: field, I used the dynamic field denoted as:
{Owner(Regarding(Contact))}. This is causing an error in the
workflow. When I put my own name in the To: field, it works fine, but
if I put any "Regarding" field in the e-mail, it fails.

Track in CRM never applies automatically

using the CRM outlook client I have the problem, that the Track in CRM-
Button is never enabled on incoming emails.
The following options are set:
*Outlook - CRM - Options - Email:
Check incoming Emails and set if an email is tracked as a CRM record
(translated) -> is checked
Track: Email messages from CRM Leads, Contacts and Accounts -> is
selected
Symbol: Microsoft Dynamics CRM-Symbol

My useraccount in CRM has the setting:
Email-accesstype incoming: Microsoft Dynamics CRM for Outlook
Email-accesstype outgoing: Email-Router (i want the incoming to work
first)
There is no Outlook mailbox forwarding rule anymore.
I do not have any CRM-addresbook in my Outlook.
If I click the track in CRM-button manually it is assigned to the
correct contact (as the emailaddress match).
Please note: it makes no difference, if I receive an answer to an CRM-
Email (INCLUDING the CRM-token!)

Server not found with Outlook client
Hello,
if I install the Outlook Client everything seems to work fine fist.
But after a while (restart outlook or something like that) I get an
error "Server not found" in the titlebar of each outlook-folder
related to CRM.
The foldercontent looks like an Internet Explorer error message
saying:
The page cannot be displayed.
The last line says "Server or DNS cannot be found".
If I run the homepage url of the folder in Internet Explorer
everything is fine.
If I run the http-debugger Fiddler, it seems fine, but the page does
give this error.
I had the impression this occures if I had Internet Explorer open
before. But i cannot say it for sure yet.
Is there anything I have to setup? I already reset my zone-settings in
IE as well as my extended options in IE Internet Options.
Hope someone can help me with this.

Confused by the wait for timer in CRM 4.0
How can I make a workflow to send e-mail after x days from creation of the
record?
I tried to use the execution time and timeout options under local values-
workflow, but it didnâ??t work it stuck at waiting status and I canâ??t
understand the way it work in CRM 4.0

CRM 4.0 workflow
Could someone let me know how to accomplish the following in crm 4.0
- i have a task; with a due date.
- i need to have a workflow that would check (15 mins after the due date) to
see if the status of the task is completed.
- if it is not completed, then i need to send an email to the owner of the
task.
Basically Im not able to define the condition that workflow should check the
task status 15mins past the due date. I remember there was a 'Wait For Timer'
feature in 3.0 workflows ; cant see the same in 4.0

CRM 4: DeletionService not removing records
I am having problem removing records from out CRM system. Due to a problem
with workflow, we have 65,000 records in out Asynoperation table.
Using the SDK I have deleted 29,000 of these, but when checking the
asyncoperationbase table, the are not being removed from the table, just have
a deletionStateCode of 2.
It has now been 4 days since these were marked as deleted, and I have used
this tool http://code.msdn.microsoft.com/ScaleGroupJobEditor/ to force the
deletionservice to be run, but still these records are not being deleted.
There are no errors in the event log.
Having turned on CRM Tracing I have found this error in the trace log:
Exception while trying to execute AsyncOperationId:
{5010C7F0-5CC3-DC11-AFAA-001517456D34} AsyncOperationType: 14 -
System.Data.SqlClient.SqlException: Timeout expired. The timeout period
elapsed prior to completion of the operation or the server is not responding.
Can anyone give me any advice on how I may be able to get this to work
correctly? I would prefer not to delete the records directly from SQL, as I
know this is not supported.

CRM Reports; Records don't show up
All,
I have a problem with the reports and want to find out if more people have
this problem. I've created custom reports but also used the report wizard to
create reports about Salesorders. My reports only show records with the Euro
currency, this is also my base currency. It does not show other orders with
different currecies. It has to do with the CRMAF Pre-filtering. Because if I
make a normal query the records show up just fine. Does anyone have an idea?

Outlook client freezing MSCRM 4.0
We have implemented MSCRM 4.0 and have installe the Outlook client.
Several of our users experience crashing and freezing when using
Outlook.
The comon factors seems to be:
Outlook 2007
Multiple mailboxes in the profile.
Unfortunately this is likely to stop the adoption of this product.
